- ***See attachment for full document and corresponding requirements description*** **Q&A attachment added 1/13/2021** EOUSA is investigating the market for and seeking information on an online event management system that will allow individual to register for events and receive information related to those events. USAOs and EOUSA will use the multi-functioning automated system to communicate with and engage law enforcement, community groups, non-profit organizations, social service providers, government agencies, faith-based organizations, parents, schools and others.�EOUSA is interested in an online event management system with the following qualities: 3.1 The system hosting the services should have minimal risk of screen freezes, glitches, or other technical problems. 3.2 The system should also be available for users and capable of handling high traffic loads. 3.3 Users and administrators should be able to leverage functionality with a very limited amount of training. 3.4 The provider should have technical support capable of troubleshooting and resolving issues quickly. 3.5 The system should be developed, maintained or modified for compliance with Accessibility standards (Section 508). 3.6 Confidentiality and Non-disclosure: Service-providers or business affiliates shall neither reproduce nor release to any third-party at any time any information contained in the system or related to information in the system. It is the responsibility of the service-provider or business affiliate to protect the confidentiality of any and all DOJ Information processed, stored, or transmitted by the service-provider and/or business affiliates.1 3.7 24 x 7 x 365 online services for users and administrators. 3.8 Online registration capabilities using an automated web-based interface. 3.9 Administrative access for about 200 agency administrators who can initiate and manage events. 3.10 Ability to remove and add administrators with ease. 3.11 Administrators need to have the ability to configure events, create registration information, accept/deny applicants, administer multiple concurrent events, initiate and analyze event evaluations, and provide certificates of completion to event participants. 3.12 Ability to accept registrations for about 120,000 registrants, annually.2 3.13 Administrators can easily and securely import contacts information so event registration details and related information can be distributed. 3.14 Administrators can securely access and manage events, lists and content from anywhere there is an Internet connection. 3.15 Administrators can create custom events with the flexibility to add and customize fields, add graphics and attach documents. Event options include title, date, time, location, directions/maps, links to mapping or similar programs, registration deadline, cosponsors, special accommodations, ability to ""add to my calendar"", etc. 3.16 Preferred ability for registrant to select workshop preferences. 3.17 Preferred ability for the system to generate a secure QR code or other similar matrix barcode for each event and workshop, which will allow registrants to quickly access event information. Ability to disable this function if necessary. 3.18 Administrators can configure roster sizes for events and provide a means for registrant to be placed on a waiting list, if needed. Preferred ability for the system to update the registration list when someone has canceled a registration. 3.19 Event confirmations sent to users/registrants and automatic event reminders provided to users/registrants using a preselected timeframe set by the administrator. The reminders will include a means for the user to cancel the registration if the user is no longer able to attend an event. Ability to disable this function if necessary. 3.20 Preferred ability to automatically generate a unique secure QR code or other similar matrix barcode for each registrants, which will assist the administrator/event planners with checking in registrants and printing name badges at the event. Ability to disable this function if necessary. 3.21 Downloadable distribution lists and event registrant information in Excel (or other workable formats) which administrators can edit and save as needed. 3.22 Ability to customize event surveys and course evaluations. Provide for accessible, online user surveys/course evaluations. Preferred ability for the administrator to chart and analyze results quickly. 3.23 Preferred ability to conduct polling by text during event. 3.24 Administrators can select registrants who attended the event and disseminate certificates of attendance to those individuals after the event. Preferred ability for administrator to have the ability to connect a certificate of completion to the completion of an anonymous course evaluation. 3.25 Preferred ability for administrators to provide and maintain a paperless record of all training, attendees and certificates, to be maintained in accordance with retention policies. 3.26 Ability to provide post-event registration reports.
