- The U.S. Department of Education is seeking information regarding the availability of qualified sources with the capability to meet the Office of Communications and Outreach�s need for a FedRamp certified On-line Registration Tool. The U.S. Department of Education conducts hundreds of conferences (small and large), workshops, webinars, hearings, forums, trainings, and the like. Due to the diversity of these convenings' information and structure, a dynamic, flexible and easy-to-use on-line registration service with support services is required.�� The service shall allow attendees and trainees to register on-line via computer or mobile device.� And permit multiple event scheduling, on occasion during the same date and time as another group utilizing the same service, while being independently managed and operated by different ED offices.�� The service will provide on-demand reporting, registration data, and the ability to blast custom emails to attendees.� The service shall provide an on-line, web-based registration service, and customer support to allow staff, internal and external customers to register for training workshops, breakout sessions, webinars, events and conferences.� The service shall provide ongoing customer support and have the ability to build registration services and provide detailed custom reports upon request.� The service shall reside on the contractor's server and be accessible to our customers through several Departmental websites, including, the Information for Financial Aid Professionals (IFAP), Training for Financial Aid Professionals (TFAP), e-Training site (Learning Management platform), the Federal Student Aid Training Conference website and the general Department of Education website.� The service also must meet the following requirements, functions, and features. The service shall be compliant with all Department and Federal information security and privacy requirements (https://www2.ed.gov/fund/contract/about/acs/2020-security-privacy.pdf), including FedRamp. The service must be able to provide the following capabilities with direct collaboration with the registration tool.� Use of a third-party application as a solution is acceptable: Ability to do custom surveying that doesn't count against the on-line registration numbers.� Surveys should be customizable per each portal and have the ability to provide reporting analytics. Ability to offer a mobile app solution, which may include the following: (a) Allow attendees to create personalized schedules or agendas (for their own use), by accessing the conference agenda and clicking on the sessions that they want to attend prior to coming to the conference.� This tool is not meant to allow attendees to actually register for break-out sessions; (b) Promote attendee networking; (c) Link to important conference information; (d) Maps/floorplans; (e) Surveys; and (f) Polling. Ability to manage a program agenda within the on-line event registration. Ability to have attendees register on-site and/or to check-in and print their own badges/certificates. This includes having the ability to edit badge/certificate before printing and registration status updated in real-time. Mobile Application�software designed to run on a�mobile�device, such as a smartphone or tablet computer to be used for event logistics notifications and information, chats, agendas, polling, surveying, etc. Ability to integrate or facilitate a virtual meeting, similar to Zoom, WebEx, Microsoft Teams Respondents interested in providing a response to this RFI should carefully read the above functional requirements and submit information which clearly describes the following: Address the questions in the excel attachment.
