- Description
- The United States Military Academy at West Point has a requirement for commercial multifunctional devices capable of copying, scanning, printing, and faxing, as well as their associated services. The products and services under this contract will serve to integrate, modernize and refresh the Army�s base architecture while providing standardized interfaces. Description: The program�s objective is to procure commercial-off-the-shelf (COTS) multi-functional devices (MFDs), including equipment, equipment accessories (paper trays, sorters, etc.), and consumable supplies (toner, developer, fuser oils and fusing rollers, etc., except paper), as well as the related services under multiple service plan options. Related services include installation, removal/relocation, periodic preventative/regular maintenance, key operator training, and repair services. Maintenance service includes ensuring the equipment is operating in accordance with the manufacturer�s recommendations and factory settings. It also ensures the equipment is in good working condition. Repair services include responding to service calls and providing telephonic customer support. The four products and services options that will be provided under this contract include Purchase Plans, Lease to Ownership Plans, Operating Lease Plans, and Cost-Per-Copy (CPC) Plans. The Cost-per-Copy (CPC) plan includes equipment and accessories, maintenance, and consumable supplies at a cost per copy rate. The CPC model essentially takes all the cost components of the asset, the maintenance, supplies, and the usage and bundles them altogether. A cost per copy is then calculated based on the usage that the customer guarantees the Contractor will be used. The CPC requires that the customer commit to pay for a specific number of copies and prints at a cost per page, whether they are used or not. Any copies and prints made above the committed usage will be billed a predetermined overage cost per page. All Contractor proposed models include the base model price for a standard black and white MFD and a base model price for a color MFD and a description of the features included. Additional accessories available for that model should be listed and priced as separate options. For the base technical specific requirements, please reference the attached document in this sources sought. Please note: This sources sought is being posted for Market Research purposes only.� An award will not be made based on the results of this Market Research.� All costs associated with vendor submissions will not be reimbursed by the Government. Technical Requirements: Required minimum copy/print requirements for USMA are as follows:� Enterprise solution is required This must be centrally managed on-site and/or off-site in a cloud managed environment.� USMA currently operates in a Microsoft Azure Cloud environment[MJN1]� and can integrate with this platform; however, other vendor cloud options can be considered. All software and/or firmware updates will be included[MJN2]� and have the ability to be centrally managed SNMP capability is required and must be version 3 or greater 802.1x authentication on the network is required Capability to list all copiers in Active Directory[MJN3]� Must be able to configure LDAP lookups to Active Directory and\or M365 Azure Active Directory (i.e. - Must be able to lookup email for West Point Research and Education (WREN) addresses[MJN4]�) Must be able to designate specific persons to be able to manage print jobs for specific printers Must be able to move copiers on demand at least twice per contract year Capability to bill for print jobs[MJN5]� and ability to set print quotas Copier requirements[MJN6]� Must have ability to authenticate to Active Directory and\or M365 Ability to send print job to queue from any device and release print job to any printer Must have trays available for 11x17 tabloid paper; 8.5x14 legal paper; and 8.5x11 letter paper Must print in color Must be able to send secure print jobs; i.e. sender sets a pin that must be entered to release the print job Must have duplex and able to set as default Must have 3-hole punch Must have staple capability Must have smart card reader capability (CAC/PIV) Must be able to scan 11x17 tabloid paper Must be able to scan to email Must be able to scan to OneDrive for each authenticated user Must be able to accept print jobs from macOS systems Must be able to accept print jobs from Windows systems Must be able to accept print jobs from Apple iOS devices (Apple Air Print) Must be able to accept print jobs from Android devices Must have print speeds minimum of 30 PPM Must be able to send technicians for repairs within (2) business days Delivery: CONUS Delivery required to be FOB Destination: United States Military Academy ATTN: USMA CIO/G6 (Mr. Gary Albaugh/Mr. Jack Collins) 606 Thayer Road, Floor 1W, Room 110A West Point, New York 10996 Points of Contact: All responses are due NLT 11:59PM, February 28, 2021.
