Description
This is a Sources Sought Notice and not a solicitation announcement. The purpose of this Sources Sought Notice is to gain knowledge of qualified, potential contractors and their socio-economic size classification in accordance with NAICS code 541519, Other Computer Related Services.� Responses will be used by the Government to make appropriate acquisition decisions. After a review of the responses to this Sources Sought Notice, a solicitation announcement may be posted. A response to this Sources Sought Notice is not an adequate reply to a potentially forthcoming solicitation. This is not a solicitation and in no way obligates the Government to award any contract. Additionally, a response to this Sources Sought notice is not a request to be added to a prospective bidders list or to receive a copy of any forthcoming solicitation. To respond to this Sources Sought notice, please provide the following information below via email to Sharon Haywood, Contracting Specialist, at sharon.haywood@va.gov. The closing date and time of this Sources Sought notice is March 23 at 11:00 AM Central Standard Time. Company Name Address DUNS Point of Contact to include Phone Number and Email Address Socio-economic classification in accordance with NAICS 541519. Description of the product/solution an offeror would submit, and how it meets the specific tasks and deliverables listed below in the attached Performance Work Statement (PWS), how it will use the existing VA hardware, and any additional hardware that would be required to implement the solution.� This shall be limited to 3 pages. A list of the contract vehicle(s) the solution is available under. The Department of Veterans Affairs (VA), Austin Information Technology Center (AITC) requires both the on-site and remote maintenance support for two (2) existing Cisco Audio Visual and Video Teleconferencing (VTC) systems installed at the VA AITC located in Austin, TX.� The Contractor shall provide Original Equipment Manufacturer (OEM) confirmation that all software support or licenses have been purchased.� The Contractor shall provide service call instructions to include all information required to obtain maintenance, support, updates and/or licenses via telephonic and electronic access. The Contractor shall provide one (1) telephone number for VA to contact and open a maintenance support call. The Contractor shall staff the telephone service 24X7X365/366 days/year. All VA support calls will be initiated by the VA Cor or designee. The Contractor shall perform Repair Services that meet the following requirements:��������� �The Contractor shall include technical support Monday thru Friday from 7AM to 4PM Central Standard Time for routine maintenance and repair services. The Contractor shall respond to routine Maintenance calls by next business day and provide a plan of action to resolve reported problems or issues within 24 hours of notification. � The Contractor shall provide 24 hours, 7 days a week for Emergency Maintenance Services Support up to 6 times per year. The Contractor shall be on site within six hours of an emergency call. � The Contractor shall provide one Point of Contact (POC) for service and account representation. POC shall provide customer service to the VA team for all questions or concerns related to this requirement. Contractor staff roster shall be delivered three days after award. � The Contractor shall provide temporary replacement equipment should equipment require off-site repairs exceeding four business days. Temporary replacement equipment shall be equal to existing equipment. � If the defective part that is removed is still under manufacturer warranty, the Contractor shall facilitate the repair of the defective part with the manufacturer at no additional cost to the VA. � The Contractor shall be responsible to keep the installed systems functional. � The Contractor shall provide Detailed Service Reports following each Routine and Emergence Maintenance Service. The Detailed Service Report shall include how maintenance incident incurred was resolved. If no resolution was achieved, a plan of action to resolve maintenance incident inclusive of timeline and location of maintenance incident shall be provided. The Contractor shall maintain a spare parts list to fix or replace any component of the VTC in the event a defective part needs to be replaced. When providing on-site maintenance or repair services, the Contractor shall comply with all Federal and VA security and safety regulations and policies. The Contractor shall always be escorted by the COR or an authorized VA employee or representative while conducting repairs or maintenance at the VA site, unless Contractor is in possession of authorized security clearance. The Contractor shall provide all maintenance, services, and resources necessary to maintain and repair the existing VTC systems, furnish all labor, supervision, tools, materials/supplies, travel and transportation necessary to provide VTC Maintenance, Repairs, and Preventative Maintenance Services as detailed in the attached PWS dated March 11, 2021. The Period of Performance is for a base period of twelve (12) months and four (4) Option Periods of twelve (12) months each. ��
