- Sources Sought Notice The Department of Veterans Affairs, Network Contracting Office (NCO) 15 is conducting market research to help determine the availability and technical capabilities of SDVOSB, VOSB, SB and Larges Business that can provide Hillrom Preventative Maintenance/Services for the Hillrom beds as below. (Base with four option years) DEPARTMENT OF VETERANS AFFAIRS MEDICAL CENTER Truman VA, Columbia, MO STATEMENT OF WORK Hillrom Preventative Maintenance/Services for the Hillrom beds Purpose: The purpose of this Sources Sought for the technical specifications and responsibilities in relation to a service agreement with the Harry S Truman VAMC (Base with four option years). The Vendor shall provide all necessary tools, equipment/hardware, installation, maintenance/services, warranty, and training in accordance with this requirement. Primary Goals: The primary goals are to achieve enhancement of patient safety, standardization, safety protocols, reduction in labor, and overall improvement of patient care. In addition, these beds will be serviced immediately upon request of the facility and minimal downtime experienced. Required Services Contractor will be required to perform a complete and comprehensive assessment and repair of Hillrom beds (listed in Table 1) that will meet and comply with original equipment manufacturer specifications. All replaceable parts utilized for this repair must be approved by the contractor to ensure original equipment manufacturer specifications. All labor, shipping & handling charges will be covered under these required services. All services for this requirement must meet manufacturer's performance and technical specifications, Federal Regulations, and other specifications that may apply such as National Electric Code (NEC), Life Safety Code (LSC), Joint Commission (JC), and VA Regulations (i.e. Sterile Processing Directives for the cleaning of Reusable Medical Equipment). Contractor must furnish a detailed field service report, showing work completed, listing all repairs and/or repair parts (if applicable) used to maintain operating efficiency per manufacture specifications of the equipment. The service report shall be sent to Biomedical Engineering (COR) via email. COR will be designated once contract awarded. The service report from the contractor must contain, at a minimum, the following information: a. Date and time of completed equipment repair, b. Type, model, & serial number of equipment on which maintenance was performed, c. Total time spent performing maintenance, d. Detailed narrative description of the maintenance action required, e. Complete list of parts replaced, f. Comments as to the cause of the malfunction when applicable, There is a potential for exposure to bloodborne or other infectious material with equipment throughout the hospital. All contractor maintenance persons must use the Universal Precautions during cleaning and maintenance/repair procedures required by this service request. Contractor will be responsible for providing their own Personal Protective Equipment as applicable.
