36C24622Q0224_1 Combined Synposis Amendment Executive Conference Room Upgrade� The following response to vendor questions that were submitted on 1-11-2022. 1 - Room Dimensions - The size of the room is 26""x24"", see attached blueprint. 2 - Wall material - drywall 3 - Ceiling material (type of ceiling) - drop ceiling 4 - Floor material (raised floor?) - carpet 5 - How many people sit at the table - varies cannot provide a solid number 6 - VOIP or POTS line - explain what a POTS line 7 - Use existing cabinet or new one - depends on amount of equipment 8 - Pictures of the room would be great if available - see attached.� _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ _ 36C24622Q0224 Combined Synopsis Charles George VA Medical Center Executive Conference Room Upgrade 8 Page 8 of 57 This is a combined synopsis/solicitation for commercial supplies prepared in accordance with the format in FAR Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation for this action. Quotes are being requested, and a separate written solicitation will not be issued. This solicitation is issued as a Request for Quote (RFQ). Submit written quotes referencing RFQ 36C24622Q0224. The solicitation document and incorporated provisions and clauses are those in effect through Federal Acquisition Circular- 2021-06 dated 06/10/2021 Any amendments issued to this solicitation will ONLY be available on the Contract Opportunities website (https://beta.SAM.gov ). The North American Industrial Classification System (NAICS) code for this procurement is 334310 with a business size standard of 750 Employees. This procurement is a Veterans Owned Small Business set-aside to and for all eligible offerors may submit quotes. The Network Contracting Office (NCO) 6 Regional Procurement Office (RPO) EAST intends to award a firm-fixed price contract for the Executive Conference Room Upgrade at the Charles George VA Medical Center, 1100 Tunnel RD. Asheville, NC 28805. If your firm is a Service-Disabled Veteran Owned or Veteran Owned Small Business, you must be CERTIFIED in VetBiz (see internet site: https://www.vip.vetbiz.va.gov/). All offerors must be registered in System for Award Management (SAM) at http://www.sam.gov to be considered for an award of a federal contract. The record must be complete and not missing elements such as representations and certifications. The Government will award a contract resulting from this RFQ to the responsible offeror whose quote represents the lowest price technically acceptable for the government. Quotes are due by 8:00 AM EST on January 14, 2022. Quotes received after this date and time will be considered late in accordance with 52.212-1(f) and will not be evaluated. Quotes shall be submitted via email to james.risbon@va.gov. This combined solicitation/synopsis is for the Executive Conference Room Upgrade at the Charles George VA Medical Center, 1100 Tunnel RD. Asheville, NC 28805. Statement of Work Executive Conference Room Upgrade for the Charles George Asheville VA Medical Center, Asheville NC 28805 1. Introduction and Overview Project to upgrade telecom equipment in Executive Conference Room for meetings and Incident Command. 2. Requirements and Tasks CONFERENCE ROOM: An all-new PC-based (customer provided PC) video conference system will be installed in the conference room. A new display, audio system, and cabinet-mounted rack (existing cabinets) will be installed. DISPLAY SYSTEM Three (3) new 75-inch display will be mounted on the walls. One (1) on the rear wall and one (1) each on the side walls. One (1) new 86-inch interactive display will be mounted on front wall at the wall box as the main display. All four (4) displays will mirror each other. Existing display will be removed. MEDIA SOURCE: The main source will be a client-provided PC which will be housed in the equipment head-end; wireless keyboard/mouse should be provided by the client. A hard-wired HDMI connection at the table will be provided for presentations. Existing table-boxes will be used; however, the vendor can recommend a replacement table-box with power and retracting cables. A wireless presentation system will be installed that will utilize the existing client-provided LAN and Wi-Fi to allow wireless presentations. Interactive display output will be selectable as a source to send to all displays. AUDIO SYSTEM: A new pair (2) of in-ceiling microphone arrays will be installed to capture all voices around the table. New ceiling speakers will be installed (4). Audio conferencing will be available via owner furnished VoIP or analog voice line. VoIP forms to be filled out by owner prior to installation. WEB-CONFERENCING Web-conferencing via owner furnished computer. Client must install and setup the required software (e.g., TEAMS, Zoom, etc.) Camera: PTZ camera connected to owner furnished computer through USB AV interface Calls dialed within the respective software on the owner furnished computer. It is the responsibility of the client s IT administrators to ensure that the client-provided Room PC used in this system automatically selects as the default communication device the AV systems connected via USB. This is necessary for proper audio and video operation. CONTROL SYSTEM: A new 7 touch panel will be located on the table. Audio call controls, video selection, camera controls will be available on the touch panel. Video call controls will be through the client-provided Room PC. EQUIPMENT RACK/HEAD-END: Rack type: Cabinet mounted, slide out. Location: Existing cabinet in room. Cabinet size is 20.5""H X 33.5"" W X 22"" D The 12U rack will include a fan unit for circulation and the vendor will cut a hole in the bottom of the cabinet and install a toe kick vent to allow ventilation to the rack for cooling. On-Site & Remote Service: Remote service is available 24/7/365 and provided via phone, e-mail, text, or chat. Subscription to Parasol service increases the warranty period to 1-year on workmanship/labor. This service allows quicker access to service by way of immediate contact with a technician who can control PoE and IP settings, monitor ports, check power & statuses, reboot power, auto-reboot modems, and troubleshoot remotely and instantly. If this service is refused, or cannot be included due to IT regulations, Fusion's warranty will remain at 90-days. This service requires a 1-year subscription to Parasol service. The fee will be invoiced quarterly at $49/month. Post & Pre-Installation Information Prior to acceptance, the vendor will work with the client to develop an acceptable deposit schedule and/or commercial terms. Progress payments will be requested as part of this project and issued prior to ordering equipment. The client will be informed of any backorders or product replacements. The vendor will develop installation documents requesting conduits/pathways for low-voltage and A/V cabling to be provided by the vendor. High-voltage locations will be requested by the vendor and provided by the client. Location and connection plans/diagrams will be developed and issued to the vendor installers. Upon completion, redlined drawings will be updated to reflect As-Built conditions and delivered to the client. System commissioning will be conducted by a ""Lead"" technician or higher. A Vendor PM, Engineer, or Sales Rep will develop and execute a training plan with the client.
