Description
Request for Information (RFI) I am requesting information from interested sources on behalf of the Federal Housing Finance Agency (FHFA). The request is for information only, and your response is neither an offer nor a quote. This request for information does not commit the FHFA to pay any costs incurred in the preparation and submission to this RFI. Also, this RFI does not obligate FHFA to contract for services or guarantee any respondent inclusion on a potential solicitation mailing list. Purpose FHFA has a potential requirement for an outdoor corporate picnic event facility within 30 miles of FHFA Headquarters location (400 7th Street SW, Washington, DC). FHFA is conducting market research to gain an understanding on the possibility to obtain these services in accordance with the draft requirements included in this posting. Based on positive market research results, FHFA may formulate a subsequent procurement strategy and solicitation. The specific purpose of this request is to accomplish the following: 1. Gauge overall interest in this FHFA requirement. 2. Identify the capabilities of potential firms in meeting FHFA�s objectives and requirements including related experience and past performance. 3. Gather information that can be used to inform, formulate, and enhance a procurement strategy and solicitation. Please see the below DRAFT requirements for more details. FHFA is seeking a venue with the following capabilities: Available to FHFA from 8:00am � 5:00pm on June 21, 2022 or June 24, 2022. FHFA anticipates the main event to be 11:30am - 3:30pm with time required for FHFA to setup, tear-down, and clean-up FHFA provided items. Allows for exclusive use of an outdoor picnic area to accommodate an estimated 1000 staff and guests. Includes a covered pavilion area or tent to accommodate seating for an estimated 1000 attendees and catering setup. Includes catering services to provide food & beverages; disposable plates, cups, napkins, and cutlery; all serving equipment (i.e., chafing dishes, serving platters/bowls, serving utensils, ice buckets or dispensers, etc.); tablecloths (plastic or linen). Menu selection should be barbeque fare with offerings such as: Meats (i.e., Barbeque and/or Fried Chicken, Roast Pig, Brisket, Barbeque Spareribs, Roast Beef, Hot Dogs, Hamburgers, etc.) Vegetarian/Vegan Options (i.e., Veggie Burgers, Meatless Hot Dogs, Grilled Vegetables, etc.) Side Dishes (i.e., Baked Beans, Corn on the Cob, Potato Salad, Cole Slaw, Pasta Salad, Mixed Green Salad, Fruit Salad, Potato Chips, etc.) Breads (i.e., Rolls and/or Cornbread, etc.) Desserts (i.e., Selection of Cookies, Brownies, Pies, Ice Cream, etc.) Non-Alcoholic Beverage (i.e., Assorted Sodas, Lemonade, Iced Tea, Bottled Water) All Condiments (i.e., Barbeque Sauces, Salad Dressings, Ketchup, Mustard, Relish, Diced Onions, etc.) Includes all necessary tables for both catering setup and seating (i.e., banquet rounds, rectangle picnic tables, tall & short cocktail tables, etc.), as well as chairs for an estimated 1000 staff and guests. Includes designated areas for the exclusive use by FHFA and all necessary athletic equipment for games/play activities such as: baseball/softball, volleyball, horseshoes, basketball, kickball, miniature golf, playground, nature trails, sack races, corn hole, and tug of war. Provides an area for a DJ and dancing with the ability to provide music and amplified entertainment. Includes audio sound equipment, if needed. Includes access to clean and functional restroom facilities with running water, soap, and supplies (i.e., toilet paper, paper towels or hand dryers, etc.). Portable toilets/bathrooms are not acceptable alternatives. Includes access to electrical power and running water. Includes accessible trash bins throughout area. Allows FHFA to hang/post customized event banner/signs. Includes all necessary staff to support the event to include: designated Event Manager/Coordinator, staff for event set-up, tear-down, and clean-up (including trash removal as needed throughout event), and catering servers/waitstaff. Includes onsite parking (including Handicapped Parking) to accommodate group size, including parking for at least three (3), 55 passenger coach buses. The facility should allow for coach bus staging and provide an area for safe onboarding and offboarding of passengers. If not offered by the venue, FHFA must have the option of procuring from outside vendors and setting up additional games and activities such as: photo booth, popcorn machine, inflatables, snow cone machine, and cotton candy machine. However, your firm may submit any pre-created marketing literature to supplement the requirement. If this does become a firm requirement, and the FHFA decides to request a quote from your firm, you will be advised. Please do NOT include any non-disclosure restrictions; state your submission is for evaluation purposes only; or submit other similar restrictions. FHFA is conducting market research and may share your inputs with others to develop a potential, future solicitation. Such restrictions eliminate that utility.
