Description
Contractor shall provide the following services: Lodging for Ready and Resilient Warrior Workshop participants to include a variety of hotel rooms and sizes for up to 45 families with minor children designated by the Hawaii National Guard. Location is on the island of Oahu, Hawaii. Five rooms designated for workshop staff for 3-night stay with a late check-out at 2:00pm. Forty rooms for participants for 2-night stay with check-out at 11:00am. The staff will check-in one day prior to the participants. The dates of workshops are listed below: 23-26 June 2022 25-28 August 2022 22-25 September 2022 POCs � Suicide Prevention Coordinator, Melody Bell and Pilot Manager Lehua Halemano. Provide 50 parking stalls for staff and participants. Three separate meeting rooms for workshop participants to include: one large meeting room for the main workshop session to accommodate a minimum of 80 people, two smaller meeting rooms for breakout sessions to accommodate. One room will be used for childcare services. All meeting rooms will be furnished with tables and chairs. Additional tables available for the entrance of meeting rooms and display tables inside the rooms. Food and beverage will be required for 120 people, 70 adults and 50 children (ages 5-16). Food shall consist of any kinds of meat (chicken, beef, or pork), seafood (shrimp, fish, or scallops), starch (rice, noodle, potato), any type of salad, steamed vegetables, warm rolls, creamy butter, any type of dessert. Complimentary water and beverage station availability due to COVID 19 Guidelines. Provide two grab and go breakfast meals Provide one grab and go lunch meal. Provide two grab and go dinner meals. Hotel package may gratuitously include complimentary water and hot beverages (coffee, tea) service in meeting rooms at no charge to the government.� AM break session will be at 10:00am and PM break at 2:30pm - Saturday (AM & PM) and Sunday (AM only). Audio Visual equipment for large meeting room. Contractor shall provide full service catering to include setting up, plates, napkins, silverware, glasses/cups, clean-up, equipment to keep food hot/cold, and removal of all trash. Contractor shall have all food items delivered and available on site as mentioned above. Contractor shall provide all condiments (sugar, cream, sweetener, etc). Management Point of Contact required to be on-site.� Responses to inquiries mut be addressed within the hour.� Due to the nature of this requirement, all rooms provided must be located on-site in one facility.
