Description

Scope of Work; The Contractor shall provide evidence of NARA approval and certification for records storage on a yearly basis or as required by NARA. The contractor shall provide secure storage of BPVAHCS records in a facility that meets the requirements of the National Archives and Records Administration (NARA) (see appendix 1).� Additionally, the Contractor�s storage facility must be officially approved and certified by NARA.� Upon request, the Contractor shall retrieve records and return them to Bay Pines Veteran Affairs Healthcare System within one business day of the request for stat/emergency pick up or return unless otherwise directed by the Records Officer or Alternate Records Officer or designee.� The Contractor shall be responsible for legal destruction of such records upon sending a �Notice of Intent to Destruct� within 90 days of the life cycle of the records.� The Records Officer/Alternate or designee will provide written approval/authorization to proceed with destruction. The destruction will occur at the contracted facility and in compliance with VA Directive 6371, Destruction of Temporary Paper Records. �A certificate of final destruction and method of destruction will be provided to the Records Officer/Alternate or designee for records destroyed by the Contractor. The contract is estimated to be a base year with four options.
