- 36C25023Q0003 0001 RFQ 36C25023Q0003 QUESTIONS AND ANSWERS 1. Question: Is this a new requirement? If not, what was the previous contract awarded for? Answer: No, it is a follow-on contract, the award amount for base, plus four (4), option year (1) was $569,600.00. 2. Question: Who is the incumbent? Answer: BMT Consulting, Inc. 3. Question: What is the current contract number? Answer: 36C25022C0015 4. Question: Any changes from the current scope of work? Answer: There are no known changes from the current contracts statement of work. 5. Question: Will the VA be providing coolers? Answer: The Lab will not be providing coolers and icepacks/Mail Bags. 6. Question: If we are to provide coolers what size would be required, how many, and will there be a cooler rotation? Answer: a. i. One large enough to carry the items. Typically, a 25 to 50 qt cooler. ii. One per driver. iii. Enough to keep the product at the required temp. Frozen items may not exceed 0 degrees F. Refrigerated must be kept between 36 to 40 degrees F. Room temperature is between 68 72 degrees. iv. It is up to the Contractor as they are owned and maintained by the Contractor. v. Lockable 7. Question: What kind of vehicle is being used? Answer: It is up to each Contractor to determine what kind of vehicle is being used. 8. Question: How many driver s are currently being used? Answer: The number of drivers cannot be released as it is propitiatory information of the incumbent. 9. Question: Have there been any changes or new requirements to this contract? Answer: See answer to question number 4 above. 10. Question: Will we be transporting narcotics? Answer: No 11. Question: Are times flexible? Answer: Pickup and delivery times are not flexible. 12. Question: Will there be any stats for this contract? Answer: No on-call STAT services are needed in this requirement. 13. Question: What kind of vehicle are they utilizing now? Answer: The kind of vehicles that currently being utilized cannot be released as it is propitiatory information of the incumbent. 14. Question: It appears that there is a lot per run being transported. Mail, lab specimens, medications etc. Well, how much mail? Tubs of mail? How many prescriptions? A few vials or a few boxes? Etc. Answer: Volumes vary and cannot be predicted. Office and lab supplies. Varies in size, usually one to two large boxes. Not to exceed 50 lbs. 15. Question: What does the Quantity section mean? For example, on Item #0001 it says Quantity 251.00. Is that weight? Pieces? or is it 251 trips? Answer: One (1) trip per day (251 Days) 16. Question: For lab specimens-Do we need coolers? Is everything going to be packed ahead of time? Do we need to pack? Do we need Ice gel packs? Supplies? Dry ice? Etc. Answer: The packaging of the specimens is the VA staff s responsibility. It is the Courier s responsibility to pack their coolers and ensure temperatures are maintained. Also, see answer to question 5 above. 17. Question: Do couriers need to originate from the VAMC for supplies, mail and prescriptions before heading to the CBOCs each day or can they go directly to the CBOCs? Answer: You will start from the pick up location in Line B on the spreadsheet at the pick up time. 18. Question: Are times listed in the SOW flexible, i.e. plus/minus 30 minutes? Answer: See answer to question 11 above. 19. Question: Will there be any changes in item number(s) and/or locations of the CBOCs over the course of the contract? Answer: No 20. Question: Trip E Wednesday ""as needed"" stop at the Grand Rapids VA Clinic - how much advance notification will be given and how will it be communicated? Answer: It will be the day of, this cannot be scheduled as it is unknown if there will be specimens each day. 21. Question: What are the dimensions/size of coolers needed to transport CBOC specimens? Answer: See Answer to question 6 above. 22. Question: How many coolers are needed for each CBOC? Answer: See answer to question 6 above. 23. Question: Will the CBOCs have the coolers packed and locked before the pickup times listed in the SOW? Answer: See answer to question 5 above. 24. Question: Will the VA be supplying ice packs for refrigerated specimens and dry ice for frozen specimens? Answer: See answer to question 16 above. 25. Question: Will the VA supply ID badges or will company IDs suffice? Answer: Company badge will suffice. 26. Question: Is dry ice required to be provided by contractor for frozen specimens? Answer: No 27. Question: Are any locations scheduled to close or relocate during the course of the contract? Answer: No 28. Question: For lockable coolers, with extra keys, lockable mailbags or containers, with extra keys, and directional materials, please provide examples of type, manufacturer named needed. Answer: See answer to question 6 above.
