- Description
- The Library has identified the need for an institution-wide ticketing solution to be implemented for timed-entry ticketing for the Thomas Jefferson Building, special access ticketing for on-site and off-site programs, and Library-wide events across multiple venues. The Library needs a library-wide ticketing platform for timed-entry and event ticketing. The platform must include the following: - Successfully manage building and event venue capacity limits; - Allow for wait lists and priority or early ticketing access, based on the needs of the institution and the audience; - Assign seating for seated, theater-venue events based on the needs of the institution and the audience; - Communicate with visitors and event attendees in emergency and non-emergency situations; and - Expand visitor and event attendee data collection to improve strategic decision-making. Currently, the Library offers free timed-entry passes to general visitors via an online web platform in 15-minute increments, Tuesday � Saturday, 10:00am � 4:00pm, with extended hours until 8:00pm on Thursdays. This timed-entry pass grants a visitor access to public spaces and exhibitions in the Thomas Jefferson Building, 10 First Street SE, Washington, D.C., for groups as few as 1 and as large as 200. Timed-entry passes are offered to up to 8,000 people daily, but are not expected to exceed 2 million annually. In addition to timed-entry passes for public access, the Library hosts numerous ticketed events, including, but not limited to, an annual concert series, book talks, research orientations, NAVCC film screenings and film screenings for the general public and for private audiences. Individual event capacities range from 10 � 1,200 people for events on the Library�s Capitol Hill campus, and can exceed 200,000 for large off-site programs such as the National Book Festival or the Library of Congress Gershwin Prize. There are approximately 600 events requiring a ticketing service per Federal government fiscal year (October through September) of which over 95% are no-cost. Currently, approximately 30,000 tickets are distributed per fiscal year for ticketed events at the Library�s Capitol Hill campus, however, the Library expects to use this ticketing service for other offsite Library functions, as such the number of tickets issued might reach 300,000 tickets per fiscal year (October through September). The Library seeks a contractor to provide a comprehensive cloud-based Software-as-a-Service (SaaS) ticketing platform configured in accordance with Library requirements.
