Description
Summary: Department of Veterans Affairs, Veterans Health Administration, Network Contracting Office 5, is issuing this request for information/sources sought notice in order to identify vendors that are interested in and capable of providing Automatic Doors Preventive Maintenance & Ongoing Repairs at the Baltimore & Loch Raven VAMCs located at 10 North Greene Street, Baltimore, MD 21201 and 3901 The Alameda, Baltimore, MD 21218, respectively. Description of Work: The Contractor shall provide all labor and parts necessary to complete services defined in the Statement of Work for the Baltimore and Loch Raven VAMCs. Contractor will perform a complete preventive maintenance procedure on all doors, each semi-annually. This work consists of the following: Visually inspect each door assembly for obvious problems, malfunctions broken parts. Remove cover of operating mechanism to reveal control panel. Check and adjust doors for proper operation. Check and adjust all actuating and safety devices. Check all belts, cables, rollers, sprockets, and all door and other moving parts for proper alignment, lubrication, and operation. Ensure all bolts, nuts, screws, etc are properly tightened and secured to prevent future loosening. Replace all defective components and parts to guarantee continuous and proper operation. Perform final operating inspection. Re-install all covers properly and securely. Clean up door area as may be required to maintain proper housekeeping. Dispose of worn out or non-operating parts off site as may be required. Return any parts to manufacturer as may be required as tad-ins or in-warranty failures. Record all results, findings, action taken, and replacement parts used. Record travel time, hours on site, and action taken on a customer s service report. Equipment serviced must be clearly identified by name, PMI number or inventory number. Provide one copy of the service report to the hospital Engineering Office - Baltimore Room 6D-181, Dudley Brown s office- Baltimore Room BD-108 and Paul Albert Loch Raven - Building 4. Provide emergency response for repairs to individual doors within (24) hours of notification, excluding holidays, weekends, and nights. This service will include parts, materials, equipment, tools, and labor to affect repairs. Vendor shall have access to replacement parts within (24) hours of determination of need. Repairs shall be made the same day as the service or provide a schedule of repair. All repairs are to be completed within 48 hours of the first site visit. If the cost of a repair is not included in the scope of work, the contractor will provide a written proposal for such repairs within 48 hours the service visit. Door glass, headers, and parts damaged by other than normal wear is not included in this contract. The parts covered will include motor, harnesses, switches, gearbox, activation devices, interface boards, motion detectors, control box, presence sensors, mats, locks, belts, remote, pulleys, mat trim, operators, and rollers. Interested & Capable Responses: NCO 5 is seeking responses from entities that are interested in this procurement and consider themselves to have the resources, capabilities, and qualifications necessary to provide the services required for Automatic Doors Preventive Maintenance & Ongoing Repairs at the Baltimore & Loch Raven VAMCs. Please respond to this RFI/Sources Sought 36C24523Q0505 with your: Business name (including Unique Entity ID (SAM.gov)) Business type, socio-economic status (e.g., Veteran-Owned, Woman-Owned, Disadvantaged Small Business, 8(a), etc.), and Person of contact (including telephone number & email address). Capability statement and summary of previous experience providing these types of services for the Veterans Health Administration or other similar facilities. Available contract vehicles (GSA FSS, etc.) for use by Department of VA (include applicable NAICS ) Brief Summary of categories of services that your company can/cannot provide. Certification(s) / Licenses for meeting the local requirements to provide these services at the DC VAMC (if applicable) Responses must be submitted by 2:00 PM (ET) April 12th, 2023. This request for information/sources sought notice is for planning purposes ONLY and does not constitute a solicitation, responses to this notice are not offers and cannot be accepted by the Government to form a binding contract. The results of this market research will assist in the development of (1) the requirement, and (2) the acquisition strategy (e.g., SDVOSB/SDVOSB set-aside, small business set-aside, full and open competition, etc.). VA assumes no responsibility for any costs incurred as a result of a vendor s attendance to the Site-Visit nor the preparation of responses submitted as a result of this notice.
