- Require Contract for 63 pieces of equipment (without Grayling) or 93 pieces of equipment with Grayling with Firm Fixed Pricing for annual maintenance, quarterly inspections, and any unplanned inspections and Cost pricing for any unplanned maintenance discovered during annual maintenance and quarterly inspections or at time customer reports issue. Maintenance requirements are different for most platforms. Contractor expected to have technical manuals on hand for each piece of equipment and to utilize those manuals to ensure all required maintenance is completed and to standard. Every time an inspection or maintenance is conducted on the equipment, it will include a full ""multi-point"" inspection. Contractor does not receive additional compensation if they need to go between locations multiple times due to requiring parts, documentation, or any other reason. Contractor will check all work conducted to ensure safety and good operation of forklift to include, visual checks, functional checks, and load bearing tests. For annual maintenance, Government will provide timeline for completion of each piece of equipment along with Point of Contact information for each piece of equipment. Contractor is expected to make contact with the POC for each piece of equipment. If contact is made by phone, must be followed up with an email which G4 maintenance manager must be cc'd on. Same requirement for completion of maintenance for each piece of equipment. If there is an unplanned issue, G4 maintenance manager will contact contractor, contractor will come out to inspect within 24 hours and will provide quote to G4 maintenance manager. G4 maintenance manager will advise whether moving forward or not. If moving forward, the contractor will use the same process as for annual maintenance - coordinate with customer and send email at time of coordination and closing with G4 maintenance manager cc'd providing details of both. Contract will utilize one CLIN per group (currently 9) for annual maintenance, quarterly inspections, and unplanned inspections and one CLIN per group (currently 9) for unplanned maintenance for a total of 18 CLINs at any one time. If a group must add funding to unplanned maintenance from a different Line of Accounting, thereby requiring a different PRON and a new CLIN, the old unplanned CLIN will be settled and closed out and the new CLIN put in place. For all maintenance Contractor will provide full and detailed documentation itemized by line of what was completed and with what materials and at what cost for each thing done. For annual maintenance, documentation will also include a check list of what is required for annual maintenance for that piece of equipment along with a check box and a description beneath each item of what was completed. ""Multi-point"" inspection documentation with a check box style list of all parts of the piece of equipment checked and subsequent findings will accompany every inspection and maintenance packet. Contractor will provide appropriate inspection/maintenance packet to G4 Maintenance Manager within 24 hours completion of inspection/maintenance. Contractor will keep G4 maintenance manager in the loop on all communication with the customer and will maintain open lines of communication at all times.
