*= Required Field Sources Sought Notice Page 1 of 5 Grease Trap Services Scope of Work: This requirement for a base, plus four-year service for the grease traps at the Ralph H. Johnson VA Medical Center for the sanitizing, disinfecting and removal of waste from two (2) Five Hundred (500) gallon Grease Traps at Ralph H. Johnson VA Medical Center. These components are critical for maintaining a clean sewer system and ensuring a comfortable environment for patients, staff, and visitors. Places of Performance: Ralph H. Johnson VA Medical Center 109 Bee Street Charleson, SC 29401-5799 Basic Requirements: Contactor shall collect, remove, transport, store, treat and dispose of grease waste under the resulting contract in accordance with the terms and conditions, specifications and in accordance with the Joint Commission on Accreditation of Healthcare Organizations (JCAHO), in accordance with all Federal, State, and Local (U.S. Environmental Protection Agency EPA, Department of Transportation) laws, policies and guidelines, and VA infectious medical waste requirement. The Contractor shall maintain all necessary hazardous waste permits and licenses for the disposal of and treatment of such waste. The Contractor shall also have an assigned U.S. Environmental Protection Agency (EPA) authorization and identification number, necessary Department of Transportation permits, and insurance prior to transport and/or disposal of subject waste. If contractor requires additional information, they may contact U.S, EPA regional office. All work shall be performed in accordance with VA standards, manufacturer recommendations, and applicable local, state, and federal regulations. C. Task Requirements a. Site Cleanup and Documentation i. Remove all debris and restore work areas to their original condition. ii. Provide a detailed report of completed work and any recommendations for ongoing maintenance. D. Safety and Compliance a. The contractor shall adhere to VA safety policies and OSHA regulations. b. Personal protective equipment (PPE) shall be used at all times during work activities. c. The contractor shall coordinate with VA personnel to minimize disruption to hospital operations. E. Period of Performance a. The contractor shall complete all work within 360 days from the start date, as agreed upon with the VA contracting officer. F. Hours of Work Normal working hours are 8:00am 4:30pm Monday to Friday, except for federal holidays. Monday through Friday except weekends and federally observed holidays: FEDERAL HOLIDAYS: New Year s Day, Martin Luther King Jr. Birthday, Presidents Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Columbus Day, Veteran s Day, Thanksgiving Day, Christmas Day. All work during normal hours shall be completed at the end of that working day. Some work may need to take place during after-hours (1700 0700) or during weekends. Contractor shall provide a detailed schedule to meet the requirements. All schedules and work hours shall be requested, coordinated, and approved through the COR. G. Deliverables a. Safety cones are placed around and near hoses identifying hazard b. Removal of all waste in grease traps c. Washing and sanitizing inside of tanks d. Ensuring tank tops are secured and bolted back in place. All interested vendors are invited to provide information to contribute to this market survey/sources sought including commercial market information. THIS IS NOT A SOLICITATION ANNOUNCEMENT. The purpose of this synopsis is to gain knowledge of potential qualified sources and their size classifications (Service Disabled/Veteran Owned Small Business (SDVOSB/VOSB), Hub zone, 8(a), small, small disadvantaged, woman owned small business, FSS/GSA contract schedule holders, and/or large business) relative to NAICS 561210. POTENTIAL SOURCES SHALL PROVIDE THE FOLLOWING INFORMATION IN THEIR RESPONSE: 1) Company name, address, phone number, primary contact(s), e-mail address, NAICS code(s), business size (i.e., small/large) and UEI Number. 2) Provide a Statement of Capability that demonstrates the offeror's past performance in providing this type of service. 3) Submit Capability Statements via email to terri.hudson@va.gov by November 21, 2025. Responses should be received no later than 1:00 PM CST. NO CAPABILITY STATEMENTS MAY BE SUBMITTED AFTER November 21, 2025. AT THIS TIME NO SOLICITATION EXISTS. (DO NOT REQUEST A COPY OF THE SOLICITATION). A FUTURE NOTICE WILL BE POSTED WHEN THE SOLICITATION WILL BE RELEASED. 4) Disclaimer and Important Notes: This notice does not obligate the Government to award a contract or otherwise pay for the information provided in response. The Government reserves the right to use information provided by respondents for any purpose deemed necessary and legally appropriate. Any organization responding to this notice should ensure that its response is complete and sufficiently detailed to allow the Government to determine the organization's qualifications to perform the work. Respondents are advised that the Government is under no obligation to acknowledge receipt of the information received or provide feedback to respondents with respect to any information submitted. After a review of the responses received, a pre-solicitation synopsis and solicitation may be published in Federal Business Opportunities. However, responses to this notice will not be considered adequate responses to a solicitation.
