70 -- MERGED AUDIO VISUAL INFORMATION SYSTEMS SOFTWARE SOL IN95-32 POC Kaye Klinker, Contracting Officer, (202) 707-8608. The Motion Picture, Broadcasting and Recorded Sound (M/B/RS) of the Library of Congress intends to negotiate with the National Film & Sound Archive of Australia (NFSA) and Wizard Information Services, Canberra, Australia, for the purchase of MAVIS (Merged Audio Visual Information System) for use as a collection management system. MAVIS was developed for the film and sound collectons at the NFSA and is an integrated system for the intellectual and physical control of archival moving images and sound recordings in all formats as well as related materials (photographs, stills, posters, glass slides, scrapbooks, lobby cards. etc). The system operates in a networked environment and uses a relational database (Oracle) structure to support acquisitions, pre-accessioning management, cataloging, authority control, preservation/conservation, collection control (including movement and loans), searching and reporting. It has a three-tier record structure (title, component (or version), physical carriers), similar to that used in M/B/RS's current collection managment system, that allows for the entry of detailed information about every aspect of a moving image or sound recording. MAVIS provides an extensive archival collection management capability that enables the control of every individual physical item in the archive, including technical details on physical characteristics, preservation needs, deterioration status and history, and location and movement status and history. It keeps track of and creates links between and among related materials. M/B/RS currently uses an in-house system mainframe system for management of archival materials. Its use has primarily been for the control of nitrate film and the preservation copies made from that film. Growth of the collections and a desire to expand the use of such a system means that FMS no longer satisfies the needs of M/B/RS. The FMS file contains approximately 150,000 records that must be converted as a part of the acquisition of the new system. All data elements in the existing records will be retained in the MAVIS record. The similar structure of records in FMS and MAVIS provides conversion to be accomplished to be accomplished with relative ease. In addition to replacing FMS, the vendor shall convert the existing FMS data, without loss of data, and install the software package with the converted data. The software acquired shall run on an RS6000 using the UNIX Operating System. The relational data base management system must be Oracle Release 7 which is currently supported in the Library of Congress environment. The application must use Oracle Tools.
