Frazier tel: The National Aeronautics and Space Administration is
requesting information pertaining to a COTS (Commercial-Off-the-Shelf)
correspondence action tracking software/system commercially available
as of this date. The desired correspondence action tracking software
will have 'out of the box' capability for dispatching correspondence
related actions to the appropriate parties for resolution. The software
will track actions generated by written correspondence, phone calls and
any other means of communication that require action. Information is
requested on software packages having the following characteristics: 1.
Basic Information Tracked - Users require the ability to track the
following information on a given action. Fields include: Identification
and file number of action, Action Officer, priority, organization that
created the action, organization responsible for action, date written,
date received, date due, date closed and date completed, description
and status. 2. Tracking Capability - Users will be allowed to create,
update, delete, close, assign/reassign an action to an organization or
individual and track that action through updating and completion.
Tracking requirements include status while work is in progress, keeping
action histories for reference, and allowing for multiple assignments
and re-assignments. The application must allow the user to associate a
document with an action. 3. Text Search/Ad Hoc Query capability - The
ability to easily retrieve actions on ad hoc basis both currently in
progress and archived is imperative. Actions should be retrievable by
searching on any fields with single or multiple entries. Date ranges
and Boolean constructs must be allowed in search criteria (e.g., all
actions with ''Space Station'' or ''Alpha'' in the title; all actions
that are assigned to Smith or Jones.) It would be desirable to save
search criteria with a given name for repeated use. 4. Reports/Output
- Reports should provide a variety of summary and statistic formats
including a single page cover sheet. Ad hoc reporting capabilities are
required. The user must be able to direct output for adhoc queries or
reports to screen, file or printer. 5. Security - The system's
security must include automatic transaction logging, time stamps
applied to all status records and password protection. Access for an
action must be restricted to the creator and actionees making it
visible only to the users 'involved' in the action. The ability to
modify fields originally filled by the creator should be restricted to
the creator. 6. Interface - The software's user interface must adhere
to the interface standards for Microsoft Windows and Apple Mac OS.
Users should receive notification of new actions without having to
launch or login to the system (e.g. mail messages generated for new
action). 7. Platform/Operating System - The application must operate
cross-platform in Microsoft Windows and Apple Mac OS and provide the
same functionality and user interface on both platforms. 8. Software
Installation and Maintenance - The software product must be server
based with minimal software installed on workstations and require
minimal maintenance. Information regarding installation, user training,
updates to software, technical support, and related documentation
should be provided by the vendor. It is highly desirable that the
system have an automated import capability to allow for transfer of
data from legacy systems. 9. Architecture - System architecture must be
client/server using TCP/IP and accessible using SQL. Local and network
printers must be supported. If electronic mail is used for external
notification, the software must be compatible running in a MIME/SMTP
server environment with POP3/IMAP2 clients. E-Mail clients are hosted
on both PC Windows machines and Macintoshes. 10. Number of Users - The
software product will be required to support 100 concurrent users and
at least 300 user accounts. Please include with your response any
existing system documentation or literature and references for two
current external users of your products whom we may contact. This is a
request for information only and should not be construed as a
commitment by the Government to enter into a contract for the above
described COTS software. Responses must include technical
specifications and available commercial catalog pricing information.
