410-965-9474 The Social Security Administration (SSA) is attempting to
identify vendors that can provide Commercial-Off-The-Shelf (COTS),
(i.e. Commercially available in the market place and presently being
used by either public or private sector customers), Workflow/Document
Management Software and conceivably the subsequent installation and
maintenance support for such software, which operates in a personal
computer (PC) Novell local area network (LAN) environment; can take
full advantage of the 32 bit mode under IBM~s OS/2 Presentation Manager
or Mircosoft~s Windows NT operating systems; and have general features
such as a graphical user interface (GUI), standard Windows features
such as mouse supported screens, icons, drop-down menus, list boxes,
radio buttons, ease of installation (e.g., ~plug-and-play~
installation), ease of use and is well documented with help screens and
in hard copy forms. The mandatory requirements/salient characteristics
of the desired software shall include the following functionality and
features: 1) client/server network compatibility; 2) supports image
and information file replication; 3) compatibility with standard
software packages (i.e., relational data base management systems
(RDBM~s) such as DB2, DB2/2, ORACLE 7.X), electronic spreadsheets
(e.g., Lotus 1-2-3, Excel), word processors (e.g., WordPerfect,
Microsoft Word), etc; 4) supports intelligent routing, path selection
and navigation, and store and forwarding capability permitting users to
define specific workstations and workflow control associated with a
process; 5) the ability to define and manage document approval and
routing levels and paths for different classes of documents and/or
types of documents within classes; 6) the ability to locate and display
specific documents instantly at any workstation and determine status,
ideally without the user having to know where it resides physically in
the network; 7) the ability to group individual documents into folders
and reference them collectively as a group; 8) the ability to browse
documents in a folder; 9) the ability to attach comments to images or
documents without altering their content; 10) permits users to
instantly access relevant data and document/graphic images on the
network required to complete action; 11) the ability to accept and
distribute to multiple destinations: ASCII, imaged, scanned, e-mail,
and faxed documents; 12) the ability to easily store, archive and
search for documents in random access; 13) the ability to schedule and
prioritize workflow processing; 14) has a multilevel security system
with the ability to permit or deny viewing and alteration of documents
to specified stations and personnel; 15) ability to develop workflow
processes on stand-alone PCS; and 16) the capability to monitor and
gather statistics on action events during the workflow, specifying
arrival and completion times, dates, and time duration at each
workstation and the current status of any document; Also, state if your
software product(s) can be executed at the server level, client level
or both. Please provide information with regard to the software
product's site licensing options; training; technical support, such as
on-site and ~Help Desk~ features; maintenance support and associated
policies, or any quantity discounts. State or reference your warranty
policy. If you currently have a General Services Administration
Schedule Contract, please indicate your contract number and effective
period, and (if possible) provide a copy of your schedule. While
pricing is not required, vendors may submit broad or preliminary
pricing information. Vendors able to provide the required software are
invited to submit, in writing, (NO FAXES) complete technical details
of your software product. Responses must clearly state the ability to
provide software with the required mandatory salient characteristics as
described. Any questions or clarifications concerning this announcement
and the requirements herein should be submitted in writing. Interested
parties must respond to this notice in writing within 15 calendar days
from the date of this publication. PLEASE REFER TO WORKFLOW MGMT. when
responding to this announcement. This is a request for product
information only, NOT a Request for Proposal (RFP). No contract award
will be made on the basis of responses received; however, this
information will be used in SSA's assessment of capable sources. The
Government does not intend to pay for information received. Requests
for copies of a solicitation will not be honored or acknowledged.
