307-1972. The Executive Office of the Environment and Natural Resources
Division (ENRD) of the Department of Justice is seeking information
from organizations with the capability to provide COTS software
products to run an automated records management tracking system. The
COTS software must be capable of efficiently processing and storing in
excess of 500,000 case files as well as interact with approximately
700 on-line-users simultaneously. This application software should also
possess the ability to incorporate Record Retention and Disposition
Schedules into the system. This COTS product will be used for tracking
legal case files at the box, file folder, and document level and
should allow for tracking throughout the life-cycle of the documents
from their active phase within the ENRD to the eventual retirement at
the National Archives. The automated records management tracking system
will run on a Windows NT Advanced Server (version 3.51) and be accessed
using Dell 486DX33 or above Personal Computers running Windows For
WorkGroups (version 3.11) or Windows 95. Technical support,
documentation, and maintenance service will also be required. The COTS
software must be capable of tracking dates, personal, organizational,
and legal case names, numbers, locations, users, record schedules, and
record requests. The COTS application software should be pre-configured
but allow the end-user to customize the database fields to meet the
specific needs unique to the ENRD. The COTS software should also allow
for the system to be expanded to include imaging at a later date. The
application software must fully integrate with bar coding technology
for record transfer and record check- out/check-in and be capable of
creating and printing bar code labels. On-line help functions should be
available. The COTS software should possess comprehensive reporting and
search capabilities. The ability to define user access at various
levels and provide overall system security is required. No solicitation
document exists -- THIS IS NOT A REQUEST FOR PROPOSALS. Interested
sources may respond with their firm's qualifications and experience to
provide these product(s). Specifically provide evidence that the
software is commercially available, i.e., submission of references for
end- users. Responses will not be considered as either proposals or
bids, cost or pricing data is not solicited. The Department of Justice
is not under any obligation to take any further action beyond this
