The Department has a requirement supportive of the Pension and Welfare Benefits Administration (PWBA) for records managament and storage services to manage the documents maintained by PWBA's Public Disclosure Room. The Public Disclosure Room maintains copies of all documents submitted to DOL/PWBA in accordance with the provisions of ERISA and DOL records retention policy. Many of these files are stored in boxes and indexed on a computer data base to facilitate storage retrieval. Support is required to store over 7,800 boxes (currently stored) of documents comprising over 9,300 cubic feet, receive approximately 1,000 additional boxes per year, manage the boxes at an off-site facility in such a way as to guarantee the retrieval of the boxes that are needed for disclosure, and deliver the boxes on an as needed basis to the Department of Labor. The retrieval requirements are more dynamic than standard archival type storage facilities used by the Government. Boxes will be retrieved by DOL, required documents photocopied, and then the boxes will be returned to the contractor within one week of retrieval. Facility must be in close proximity to the Department of Labor's national office in Washington, DC. Boxes are retrieved on a weekly basis, but the contractor must also be capable of delivering boxes for emergencies within 3 hours of the request. The contractor must also, when requested, search a particular box and fax a particular document to a remote location. The facility must have an area in which DOL employees or DOL contractors may review records and have access to a photocopier. A number of other requirements apply. The Government anticipates issuing a purchase order to Records Management, Inc., of Springfield, Virginia, which is already performing the requisite records management services, and is the current site of large storage volume of such boxes. The estimated cost is $35,000 per year for one year plus one option year. No solicitation document is available. (0150)
