The anticipated room needs are: January 12 through January 25, 1998 Thirty-one (31) rooms; January 26 through April 3, 1998 Thirty-seven (37) rooms; April 4 through May 29, 1998 Twenty-five (25) rooms; May 30 through July 31, 1999 Twenty (20) rooms. Room requirements (quantity) are subject to change and may vary as much as plus or minus ten (10) percent. Dates are subject to change. The successful oferror will be notified of changes in room requirements and dates 2 (two) business days prior to the effective date of change in quantity requirements and/or time period requirements. Additional requirements include: 1. The lodging facility shall be within a 15 minute walking distance (for a person of average health) of the AJC Federal Building at 1240 East 9th Street, Cleveland, OH 44199. 2. The lodging facility shall provide a minimum of twelve (12) reserved parking spots to be available for use by guests. The parking spots shall be available for the entire contract period. 3. The lodging facility shall provide it's own shuttle service in the downtown area, and to and from Cleveland Hopkins International Airport. 4. The lodging facility shall have facilities, including washers and dryers, on site for guests to do laundry. 5. Each room/suite shall have appropriate kitchenette facilities to permit the preparation and consumption of meals. Smoke and fire protection systems must be installed in each room (suite) and meet federal, state and local fire codes. 6. The lodging facility shall provide daily or weekly housekeeping and daily or weekly linen service at no additional cost. Offerors shall indicate which will be provided. 7. The lodging facility shall provide 24 hour security at the building entrance. 8. The lodging facility shall provide free local telephone service. Long distance charges are the responsibility of and shall be paid for by each guest and billed directly to each guest. 9. The lodging facility shall permit the replacement of individuals occupying rooms at any time during any given month. 10. All guests shall check in upon initial arrival and shall check out upon final departure. The lodging facility shall inspect each room every time a guest has vacated the room for final departure and within 2 (two) business days report in writing any damage to the DFAS-CL/CSO (Contract Support Office) Contracting Officer. 11. The lodging facility and DFAS-CL/CSO shall each designate a point of contact (POC) to exchange information. As an example, the lodging facility POC shall inform the DFAS-CL POC, in writing each Monday, of the number of rooms actually occupied the previous week. 12. The lodging facility shall invoice DFAS-CL monthly in arrears and be able to accept the Government IMPAC Visa card for payment of invoices. The invoice shall be calculated as follows: For each individual month, the total number of rooms occupied shall be multiplied by the total number of days occupied and the result shall be divided by 30 (thirty) to obtain room months occupied. The result shall be multiplied by the monthly lodging rate to obtain the billable amount for that individual month. This formula shall be used in preparing the offer for each CLIN and the offer should be based on the anticipated room quantities and time periods previously described. Offerors shall include in their proposal a short statement regarding their ability to comply with items 1 (one) through 12 (12) above.
