The Corporation for National and Community Service, a wholly-owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, catering, and meeting space for three AmeriCorps*VISTA Pre-Service Orientations (PSO) and Early Service Trainings (EST). The pre-service orientation is for members who will be beginning a year of community service. The early service training is for volunteers who are currently serving as AmeriCorps*VISTA members. The PSOs will occur April 20-22, 1998; June 22-24, 1998; and August 24-26, 1998. The ESTs will occur April 22-24, 1998; June 24-26, 1998; and August 26-28, 1998. During each week of training, the two events will overlap on the third day of PSO and the first day of EST. The first group will check in on Monday and check out on Wednesday. The second group will check in on Wednesday and check out on Friday. We will need a minimum of 50 to a maximum of 100 sleeping rooms for four nights of each week. The sleeping rooms should accommodate double occupancy. Individuals with physical challenges must be accommodated. The facility selected should have the capacity to accommodate at least 240 people for group meals with the exception of lunch on Wednesday, which will be a lunch for up to 450 people ( combined PSO volunteers and EST volunteers ). We plan to host a combined PSO/EST lunch on Wednesday for each training. In addition to standard meals, the chosen vendor must be prepared to provide vegetarian and kosher meals. Approximately 25% of all meals will be vegetarian. In order to make the bids for meals comparative, we ask that your bid proposal for meals includes one cost per person for the following group of meals: ( lunch, dinner and afternoon break; breakfast, lunch, dinner and morning and afternoon breaks; and breakfast, lunch and morning break ). The breakfast menu should be full hot breakfast buffet. We expect that the meals will be served buffet style with the exception of Tuesday's and Wednesday's lunch which will be a sit-down session. You should note that the EST event will have the same grouping of meals. The only difference is that the group of meals will start on Wednesday and conclude Friday. Additionally, the facility should be able to hold up to 240 people set classroom style for general session meetings and have at least 4 breakout rooms that can hold up to 60 people. General session rooms should be set with #2 pencils. Potential audio/visual needs include a large projection screen, a two-shelf A/V cart, podium and microphone, flip charts and markers. The site selected must provide transportation for participants from the nearest Amtrak station and airport. All proposals received must include an explanation of the shuttle transportation available and indicate additional cost, if any, for the shuttle. The specific meeting requirements for each meeting are as follows: DAY 1 -- A registration area with three (3) six-foot skirted tables. Registration can occur in a separate room or in a main lobby area. We will need lunch available to accommodate a flow of registrants from 12:00 n until 3:00pm. A general session room set classroom style for up to 240 people. Audio-visual needs are a large projection screen, a two-shelf audio-visual cart, a podium, and a microphone. Dinner served in the evening. Afternoon break. DAY 2 -- A registration table set outside the general session room. A general session room set classroom style for up to 240 people in the morning. Audio-visual needs are the same as Day 1. During the afternoon, we will need up to five (5) breakout rooms -- four (4) which can accommodate up to 60 people and one (1) which can accommodate up to 25 people. The breakout rooms should be available until 8:00pm. We will need a flip chart in each breakout room. Breakfast, lunch, and dinner for up to 240 people. During lunch we will need a head table set for six people with a podium and microphone. Morning and afternoon breaks. DAY 3 -- Breakfast for up to 240 people. During the morning, we will need four (4) breakout rooms which can accommodate up to 60 people. A flip chart should be available in each breakout room. The PSO group will be checking out and the EST group will be checking in on this day. We will have a combined lunch for up to 450 with a podium and microphone. We will need one six-foot table for registration for the afternoon group and a hospitality room with chairs set theater style. An area should be designated for luggage until sleeping rooms are available. During the afternoon, we will need four (4) breakout rooms which can accommodate up to 60 people. A flip chart should be available in each breakout room. Dinner for up to 240 people. The breakout rooms should be available until 8:00pm. Morning and afternoon breaks. DAY 4 -- Breakfast, lunch and dinner for up to 240 people. We will need four (4) breakout rooms which can accommodate up to 60 people. A flip chart should be available in each breakout room. Morning and afternoon breaks. DAY 5 -- Breakfast and lunch for up to 240 people. We will need four (4) breakout rooms which can accommodate up to 60 people. A flip chart should be available in each breakout room. Mid-morning break. All activities should conclude by 1:30pm. All public rooms must be accessible to physically challenged individuals. Bid proposals must include the following information to be considered: Per night sleeping room rate for single and double occupancy. A PER PERSON cost for the group of meals identified in paragraph 3 above. A description of the shuttle service available and any costs associated with shuttle transportation must be included in your proposal. Price quotes due at the above office NLT February 4, 1998.
