and Community Service, a wholly-owned Government Corporation, intends
to award a contract to a qualified vendor who can provide lodging,
food, and meeting space for four (4) AmeriCorps*VISTA Pre-Service
Orientations (PSOs). These events will take place in Austin, TX June
15-18, 1998, July 7-10, 1998, August 4-7, 1998 and August 24-28, 1998.
Lodging: space for double/triple occupancy for 170 people with each
person having access to individual beds or equivalent; space for up to
5 single occupancy rooms. Site must meet ADA (Americans with
Disability Act) requirements. Rooming list will be provided to site 1
week before start of event. Meeting Space: Registration area on first
day from 11:00 a.m. -- 3:00 p.m. Meeting room to accommodate 200 people
set classroom style with table at front to accommodate speaker's needs,
including podium for Day 1, first half of Day 2, and Day 4. Meeting
room to accommodate 180 people set in grouping style (rounds or 4 6'
tables set in squares) with table at front to accommodate speaker's
needs, including podium for second half of Day 2 and Day 3.Informal
breakout space on first day to accommodate up to 10 groups of 20 people
(e.g. lobby, restaurant, lounge, etc.). Formal breakout space on
afternoon of Day 3 for four sessions set classroom style for 60 people
each. Departure area (4 6' tables) from 11:00 a.m. -- 12:00 noon on
Day 4. Food: 170 people for breakfast on Days 2, 3, and 4. 185 people
for lunch on Days 3 and 4. 185 people for dinner on Days 1, 2, and 3.
Breaks: afternoon of Day 1 morning and afternoon of Day 2; morning and
afternoon of Day 3; morning of Day 4 for 180 people at each break.
Water and glasses provided to accommodate 200 people at all times in
all meeting areas. Projection screen (70 x 70), AV cart, an extension
cord, access to PA system for lapel microphone. The above
specifications apply to both events to be held in August. For the
events scheduled in June and July, substitute the following numbers
respectively: Lodging: 170/150; meeting space for day 1, first half of
Day 2, and Day 4: No change for June; 175/160 for July; Food: No
change for July; 150 for breakfast, 160 for lunch and dinner. Breaks:
No change for June, breaks for 160 people for July event. Note: Numbers
include overnight guests as well as other guests (speakers, staff,
etc.). Vendor must provide on-site representation during all dates of
the event for coordination, problem solving, and decision-making.
Parking: Parking for 50 participants. please specify cost..
Transportation: Shuttle transportation from the airport to the site on
the first day and from the site to the airport on the last day. Please
