The Corporation for National and Community Service, a wholly -- owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, food and meeting space for one (1) AmeriCorps*VISTA Pre-Service Orientation (PSO). This event will take place in Austin, TX October 20-23, 1998. Lodging: space for double/triple occupancy for 125 people with each person having access to individual beds or eqivalent; space for up to ten (10) single occupancy rooms. Site must meet ADA (Americans with Disability Act) requirements. Rooming list will be provided to site 1 week before start of event. Meeting Space: Registration area on first day from 11am to 3pm. Meeting room to accommodate 145 people set in classroom style with table at front to accommodatae speaker's needs, including podium for Day 1, first half of Day 2, and Day 4. Meeting room to accommodate 145 people set in grouping style (rounds or 4 6' tables set in squares) with table at front to accommodate speaker's needs, including podium for second half of Day 2 and Day 3. Informal breakout space on first day to accommodate up to 145 groups of 15 people (e.g. lobby, restaruant, lounge, etc). Formal breakout space on afternoon of Day 3 four (4) sessions set classroom style for 35 people each. Departure area: (4 6'tables) from 11am -12 noon on Day 4. Water and glasses provided to accommodate 145 people at all times in all meeting areas. Audio Visual: Projection screen (70 x 70), AV cart, an extension cord, access to PA system for lapel microphone. Food: 150 people for breakfast on Days 2,3,and 4. 150 for lunch on Days 2 and 3. 150 for dinner on Days 1,2,and 3. Breaks: afternoon of Day 1, morning and afternoon of Day 2, morning and afternoon of Day 3, morning of Day 4, 145 people at each break. Note: Numbers include overnight guests as well as other guests speakers, staff, etc. Vender must provide on-site representation during all dates of the event for coordination, problem solving and decision-making. Please specify costs for... parking for 70 participants, shuttle transportation from the airport to the site on the first day and from the site to the airport on the last day, CNS staff required lodging at reduced rate. * If bid is made on a per person cost inclusive of all costs, then a single night cost must also be provided for guests staying less than 3 nights and for costs for participants not staying at the hotel.
