The Corporation for National and Community Service, a wholly-owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, catering, and meeting space for three AmeriCorps*VISTA Pre-Service Orientations (PSO) and Early Service Trainings (EST). The PSOs will occur November 16-18, 1998; February 22-24, 1999; May 3-5, 1999; June 21-23, 1999; and August 23-25, 1999. The ESTs will occur November 18-20, 1998; February 24-26, 1999; May 5-7, 1999; June 23-25, 1999; and August 25-27, 1999. During each week of training, the two events will overlap on the third day of the PSO and the first day of the EST. Facility must have general session room to accommodate up to 200 persons people classroom style and up to five (5) breakout rooms which can accommodate up to 50 people. The first group will check in on Monday and check out on Wednesday. The second group will check in on Wednesday and check out on Friday. 50 -- 100 sleeping rooms are needed for four nights of each week. The sleeping rooms must accommodate double occupancy. The specific meeting requirements for each event are as follows: DAY 1 -- A registration room with four (4) six-foot skirted tables. Lunch for up to 200 must be available to accommodate a flow of registrants from 11:30am until 3:00pm. A general session room set classroom style for up to 200 people. Audio-visual needs include a large projection screen, a two-shelf audio-visual cart, a podium, a microphone, a VCR, and a flipchart. Afternoon beverage break. Dinner served in the evening. DAY 2 -- Hot breakfast, lunch, and dinner for up to 200 people. A registration table set outside the general session room. A general session room set classroom style for up to 200 people in the morning. Audio-visual will be the same as Day 1. During the afternoon, there will be a need for up to five (5) breakout rooms -- four (4) which can accommodate up to 50 people and one (1) which can accommodate up to 25 people. The breakout rooms must be available until 8:00 pm. A flip chart will be required for each breakout room. Morning and afternoon beverage breaks. DAY 3 -- Hot breakfast for up to 200 people. The PSO group will be checking out and the EST group will be checking in on this day and there will be a combined lunch. Therefore, the facility must have the capacity to accommodate a lunch group of up to 400 persons. A podium and a microphone will be needed for this lunch session. Dinner for up to 200 persons. For the morning session, four (4) breakout rooms will be needed to accommodate up to 50 people. A flip chart must be provided for each breakout room. For the afternoon, two (2) six-foot tables for registration and a hospitality room must be provided. An area should be designated for luggage until sleeping rooms are available. During the afternoon session, four (4) breakout rooms must be provided to accommodate up to 50 people. A flip chart must be available in each breakout room. Other audio/visuals needs may include overhead projects and screens, and a TV/VCR. The breakout rooms must be available until 8:00 pm. Morning and afternoon beverage breaks. DAY 4 -- Hot breakfast, lunch and dinner for up to 200 people. Four (4) breakout rooms must be provided to accommodate up to 50 people. Audio/visual needs will be the same as the previous day. Morning and afternoon beverage breaks. DAY 5 -- Hot breakfast and lunch for up to 200 people. Four (4) breakout rooms must be provided to accommodate up to 50 people. Audio/visual needs will be the same as the previous day. Mid-morning beverage break. All activities will conclude by 2:30 pm. To be considered, bids must include the following information: (1) Per night sleeping room rate for single and double occupancy; (2) PER PERSON meal charges for the following: lunch/dinner with an afternoon beverage break on Day I, breakfast/lunch/dinner with morning and afternoon beverage breaks on Day 2, and breakfast/lunch with a mid-morning beverage break on Day 3. The selected vendor must be prepared to provide vegetarian and kosher meals. Approximately 25% of all meals will be vegetarian.; (3) Charges for meeting space and individual items of audio-visual equipment including flipcharts, and; (4) A description of the shuttle service available and any costs associated with shuttle transportation. Federal regulations require that any hotel/conference space contracted shall meet and comply with American disabilities Act (ADA) requirements. Price quotes due at the above office NLT 9/28/98.
