and Community Service, a Government Corporation, intends to award a
contract to a qualified vendor who can provide lodging, catered meals,
meeting space and audio/visual equipment for an AmeriCorps*VISTA
Pre-Service Orientation (PSO) event. AmeriCorps*VISTA is a federal
program which places members in low-income communities to mobilize
community resources and increase the capacity of those communities to
solve their own problems. The aforementioned event can occur during any
one of the following weeks: 2/1 -- 5 or 2/8 -- 12/99. We will need
approximately 75 sleeping rooms for four nights of the week. The
sleeping rooms should accommodate double occupancy. The facility must
meet ADA accessibility requirements. The facility should be able to
hold up to 150 people [set-up: rounds] for general session meetings and
have at least three (3) breakout rooms that can hold up to 50 people.
General session rooms should be set with water, writing pads & pencils.
Additionally, the facility selected should have the capacity to
accommodate at least 150 people for a group meal. The chosen vendor
must be prepared to provide vegetarian and kosher meals. 25% of all
meals will be vegetarian. The site selected must be reasonably
accessible (i.e., within walking distance) to Washington, DC's Metro.
In addition, all proposals received must include an description of
other transportation service (e.g. hotel shuttle) for participants
traveling between Union station, Washington National airport and the
site. Provide additional cost, if any, for same. The specific meeting
requirements for each meeting are as follows: DAY 1 -- A registration
area/room with four (4) six-foot skirted tables starting at 9:00am.
This area/room should be available to us for the duration of the week.
Lunch available to accommodate a flow of registrants from
11:30am-1:30pm. Starting at 1:00pm and for the remainder of the week:
a general session room [set-up: rounds]for up to 150 people and three
(3) break out rooms toaccommodate at least 50. All training rooms
should be available until 8:00pm each day. Large meeting room should
have the following: an overhead projector with large projection screen
on cart, a podium with microphone, and flipchart [with markers]. Break
out rooms need flipcharts in each. Dinner served in the evening.
Afternoon beverage break. DAY 2 -- All meeting space noted above to be
available from 7:00am to 8:00pm. Hot breakfast and lunch for up to 150
people, morning and afternoon beverage break. Dinner served in evening.
DAY 3 -- Same requirements as Day 1 and 2. DAY 4 Same requirements as
Day 2. DAY 5 -- Same requirements as Day 2, except afternoon break and
dinner will not be required; conclusion of all activities by 2:30pm.
Proposals must include the following information to be considered: (1)
Per night sleeping room rate for single and double occupancy. As a
federal corporation, we will only consider lodging costs which fall
within federal per diem for your area; (2) the PER PERSON cost for all
the catering. As a federal corporation, we will only consider food
costs which fall within federal per diem for your area; (3) cost, if
any, for meeting space and audio-visual; and (4) description of the
shuttle service available and any costs associated with shuttle
