and Community Service, a Government Corporation, intends to award a
contract to a qualified vendor who can provide lodging, meals, meeting
space and audio/visual equipment for an AmeriCorps*VISTA PreService
Orientation (PSO) event. The PSO event will occur June 19-22, 1999. The
Government will need approximately 75 sleeping rooms for four nights of
the week. The sleeping rooms should accommodate double occupancy. The
Federal Regulations require that any hotel/conference space contracted
shall meet and comply with American Disabilities Act (ADA). Therefore,
the facility must meet ADA accessibility requirements. The facility
will hold up to 165 people and the other four rooms will hold 50 people
each. General session rooms should be set with water, writing pads and
pencils. The facility selected will accommodate at least 165 people
for a group meal. The vendor must be prepared to provide vegetarian and
kosher meals. Twenty-five (25%) percent of all meals will be
vegetarian. All proposals received must include a description of
transportation service for participants traveling between Union
Station, Washington National Airport and the site. The specific meeting
requirements for each meeting follows: June 19,1999, 1:00 p.m. a
registration area/room with four six foot skirted tables. One six foot
skirted table for the entire conference. Refreshments and light snacks
until 3:00 p.m. in lieu of lunch. At 3:00 p.m. and for the remainder of
the week a general session room [set-up-rounds] for 165 people. The
breakrooms will be available until 8:00 p.m. each day. The meeting will
have the following: a mobile overhead projector with large projection
screen; a podium with microphone; a flip chart with markers. Dinner
served in the evening. June 20, 1999, same requirements as June 19,
1999 with the addition of two breakout rooms to accommodate 50 people.
Rooms will be available from 7:00 a.m. to 8:00 p.m. Breakfast, Lunch,
and Dinner for 165 people will be served in a dinning room. June 21,
1999, same requirements as June 20, 1999 with the addition of three
breakout rooms to accommodate 25 people each. Breakout rooms need flip
charts in each. June 22, 1999, same requirement as June 21, 1999.
There will be no afternon refreshment break or dinner served. All
training activities will be concluded by 2:00 p.m. To be considered,
proposal must include the following information: (1) Per night US
Government per diem rate for double occupancy (2) Cost per day for
catering 165 people based on U.S. Government per diem rate. (3) Charges
for meeting space and individual items of audio-visual equipment. (4)
A description of the shuttle services available and any costs
associated with shuttle transportation. (5) Cost for miscellaneous
items (pencils and writing pads). Price quotes due at the above office
