W -- RENTAL OF AUDIOVISUAL EQUIPMENT WITH TECHNICAL SUPPORT SOL 777-3-00 DUE 110899 POC Garry Plear, (440)838-6028 The Cleveland Business Center, Cleveland, Ohio referred to hereinafter Employee Education Center (EES) proposes to enter into a contract for the rental audiovisual equipment and technical support for one (1) VA Conference. This is a Request for Quotations, for which it and all incorporated provisions are those in effect through Federal Acquisition Circular 97-12. The procurement is 100% Set-Aside for Small Business. The Standard Industrial Classification Code(SIC) is 7359. The Small Business Size Standard for this procurement is $5 Million. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation WILL NOT be issued. The conference shall be held in the following location: The Hyatt Regency, Milwaukee, WI. from November 15, 1999 through November 18, 1999. The Contractor shall set up, maintain, and strike all audiovisual equipment. The Contractor shall meet all deadlines for setup and striking of audiovisual equipment in the general sessions as well as eight (8) breakout sessions during the conference. The Contractor shall be ready for checkout and crew rehearsal by 6 pm on setup day, Sunday November 14, 1999. The equipment for the general sessions shall be struck after the final session on the third and last day of the conference. The equipment for the breakout sessions shall be set up by 6 pm on setup day and struck after the final session on the third and last day of the conference. General sessions will be held two and one half (2 1/2) days with the last day ending around noon local time for the conference. There will be eight(8) two and one half(2 1/2) day breakout sessions with the last day ending around noon local time for the conference. The Contractor shall provide the technical crew to videotape the general sessions. The Contractor shall provide a technician for all general sessions and breakouts and a Computer Lab to handle the room audio. The Computer Lab will oversee operation and problem solving of the computer network. The Contractor shall respond to on-site requests for additional equipment in a timely manner. The Contractor shall provide a project manager to interface with the EES Media Development Manager and the EES Conference Planner. The Department of Veterans Affairs will provide 24 hour security for the main room.
