The Corporation for National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, food, and meeting space for an AmeriCorps*VISTA Pre- Service Orientations and Supervisor's Trainings. These events will take place in the greater Washington, DC area, February 23-26, 2000, June 21-24, 2000, July 17-20, 2000 and August 16-19, 2000. The requirements for these events are as follows: Registration: Two (2) large, covered tables set up in the assigned registration area or outside the main meeting room beginning at 11:00 am on February 23rd, June 21st, July 17th, and August 16th and remaining until the conference conclusion. A message board should be set up and left in the registration area throughout the conference. Sleeping rooms: Five (5) doubles February 22, June 20, July 16, and August 15. Fifty (50) doubles February 23-25 (three nights), June 21-23 (three nights), July 17-19 (three nights) and August 16-18 (three nights). Fifty (50) singles for February 23-24 (two nights) June 21-22 (two nights), July 17-18 (two nights), and August 16-17 (two nights). Meeting Space: February 23, June 21, July 17, and August 16: (1:00pm 5:00pm) Round tables of eight for one hundred and fifty (150) attendees. February 24, June 22, July 18, and August 17: (8:00am-6: 00pm). Three (3) rooms each holding fifty (50) attendees with round tables of eight. February 25, June 23, July 19, and August 18: Six rooms (6) each for thirty to fifty (30-50) attendees with round tables of six, (8:00am-5: 00pm). February 26, June 24, July 20, August19: (8:00am-11: 30pm) two (2) rooms each for fifty (50) attendees, one (1) room for one hundred (100) attendees (12:00pm-1:30pm). Meals: Lunch for one hundred and fifty (150) attendees from 12:00pm-1:00pm on February 23-25, June 21-23, July 17-19, and August 16-18, 2000. Plated lunches for one hundred (100) attendees on February 26, June 24, July, 20, and August 19,2000 from 12:00pm-1:30pm. Dinner for 150 attendees(150) from 6:00pm-7: 30pm on February 23- 24, June 21- 22, July 17- 18, and August16-17, 2000. Dinner for one hundred (100) attendees from 6:00 pm-7:30pm on February 25, June 23, July, 19, and August 18, 2000. Full breakfast for one hundred and fifty(150 ) attendees from 7:00am-8: 30am on February 23-25, June 21-23, July 17-19, and August 16-18, 2000. Full breakfast for one hundred (100) attendees from 7:00am-8:30am on February 26, June 24, July 20, and August 19, 2000. Refreshments: To be served each morning and afternoon of the conference. Morning break may consist of refreshing coffee and or tea served at breakfast; afternoon breaks should include cold drinks and light snacks. Equipment: In meeting rooms, each day: One (1) flip chart on easel and two (2) flip charts at the registration area, one (1) overhead projector and screen for meeting rooms. Two projector screens and one (1) VCR in main meeting room on February 23, June 21, July 17, and August 16, 2000. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle service available to and from National Airport on February 23 and 26, June 21 and 24, July 17 and 20, August 16 and 19, 2000. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental and scheduled meal costs for these guests are included in this solicitation. Incidentals, the guest will pay personal expenses (telephone calls, room service, etc.) themselves. Corporation for National Service will advise attendees of this responsibility. Please identify any and all of the above services that will be made available at no cost. For example: for a conference for 100 attendees, will the charge for the meeting rooms, etc., be waived? Also, what number of paid guest rooms qualify for additional guest rooms at no costs? What, if any, are transportation costs to and from the airport? Special Requirements: At least 25% of the attendees at meals will be vegetarians and or vegans, meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements.
