and Community Service, a wholly owned Government Corporation, intends
to award a contract to a qualified vendor who can provide lodging,
food, and meeting space for an AmeriCorps*VISTA Pre- Service
Orientation and Supervisor's Training. This event will take place in
the Austin, TX or greater Austin, TX area, March 5-9, 2000. The
requirements for this event are as follows: Registration: Two (2)
large, covered tables set up in the assigned registration area or
outside the main meeting room beginning at 1:00pm and ending at 3:00pm
on March 5th, and remaining until the conference conclusion. A message
board should be set up and left in the registration area throughout the
conference. Sleeping rooms: 50 doubles March 5- 8 (four nights), and 15
singles for March 5-8 (four nights). Meeting Space: March 5:
(6:00pm-9:00pm) Round tables of eight for one hundred (100) attendees.
March 6: (8:00am-6: 00pm). Three (3) rooms each for thirty (30)
attendees with round tables of six. March 7: (8:00am-12: 00pm) Three
rooms (3) each for thirty-five (35) attendees, one (1) room for seventy
(70) attendees with round tables of eight (1:00pm-6:00pm), one room for
thirty-five (35) attendees with round tables of five (1:00pm-6:00pm).
March 8: (8:00am-6: 00pm) One (1) room for seventy (70) attendees with
round tables of eight, one (1) room thirty-five for (35) attendees
with round tables of six (8:00pm-6:00pm). March 9: (8:00am-11: 00am)
One (1) room for seventy (70) attendees with round tables of eight, one
(1) room for thirty-five (35) attendees with round tables of six
(8:00am-11:00am), one room for one hundred attendees (100) with round
tables of eight (12:00pm-1:00pm). Meals: March 5: Lunch for fifty (50)
attendees from 1:00pm-3:00pm, dinner for one hundred (100) attendees
from 6:00pm-7: 30pm. March 6: Full breakfast for one hundred (100)
attendees from 7:00am-8: 00am, lunch for one hundred (100) attendees
from 12:00pm-1:00pm, dinner for one hundred (100) attendees from
6:00pm-7: 30pm. March 7: Fullbreakfast for one hundred (100) attendees
from 7:00am-8: 00am, lunch for one hundred (100) attendees from
12:00pm-1: 00pm, dinner for one hundred (100) attendees from 6:00pm-7:
30pm. March 8: Full breakfast for one hundred (100) attendees from
7:00am-8: 00am, lunch for one hundred (100) attendees from 12:00pm-1:
00pm, dinner for one hundred (100) attendees from 6:00pm-7: 30pm. March
9: Full breakfast for one hundred (100) attendees from 7:00am-8: 00am,
and box or bag lunch for one hundred (100) attendees from 12:00pm-1:
00pm. Refreshments: To be served each morning and afternoon of the
conference. Morning break may consist of refreshing coffee and or tea
served at breakfast; afternoon breaks should include cold drinks and
light snacks. Equipment: In meeting rooms, each day: One (1) flip chart
on easel and two (2) flip charts at the registration area. Two
projector screens in main meeting room and 1 VCR on March 5th. On March
6th &7th, one (1) overhead projector and screen and flipchart in all
three (3) meeting rooms. On March 8th & 9th, one (1) overhead projector
and screen and flipchart in for two(2) meeting rooms. Rental expenses
for A/V equipment must be included in your proposal. Transportation:
Shuttle service available to and from Austin Airport on March 5th and
March 9th, 2000. Miscellaneous: In submitting a bid for these services,
please quote a price/guest/day. Only sleeping room rental, meeting room
rental, and scheduled meal costs for these guests are included in this
solicitation. Incidentals, the guest will pay personal expenses
(telephone calls, room service, etc.) themselves. Corporation for
National Service will advise attendees of this responsibility. Please
identify any and all of the above services that will be made available
at no cost. For example: for a conference for 100 attendees, will the
charge for the meeting rooms, etc., be waived? Also, what number of
paid guest rooms qualify for additional guest rooms at no costs? What,
if any, are transportation costs to and from the airport? Special
Requirements: At least 25% of the attendees at meals will be
vegetarians and or vegans, meeting rooms and at least 25% of sleeping
rooms must be accessible to physically challenged individuals. Federal
regulations require that any hotel/conference space contracted shall
meet and comply with the American Disabilities Act (ADA) requirements.
