X -- HOTEL RENTAL SOL 2000-A-0001 DUE 021700 POC Crystal Biles, Training Officer, (202)606-5000 Ext 373 The Corporation for National Service, a wholly-owned Government corporation intends to award a contract to a qualified vendor in the Albany, New York commuting area who can provide lodging, catering, and meeting space for an AmeriCorps*VISTA pre-service orientation. AmeriCorp*VISTA is a federal program which places members in low-income communities to mobilize community resources and increase the capacity of those communities to solve their own problems. The pre-service orientation is for members who will be beginning a year of community service. The PSO will occur July 10-12, 2000. The group will check in on Monday and check out on Wednesday. We will need 50 to 100 sleeping rooms for two nights. The sleeping rooms should accommodate double occupancy. The facility must be accessible to physically challenged individuals. The facility selected should have the capacity to accommodate up to 200 people for a group meal. The chosen vendor must be prepared to provide vegetarian and kosher meals. Approximately25% of all meals will be vegetarian. The catering needs will break down as lunch/dinner with an afternoon break on Day 1, breakfast/lunch/dinner with morning and afternoon breaks on Day 2, and breakfast/lunch with a mid-morning break on Day 3. Based on these catering needs proposals should include a PER PERSON costs for meals. Additionally, the facility should be able to hold up to 200 people classroom style for general session meetings and have at least 4 breakout rooms that can hold up to 50 people each. General session rooms should be set with #2 lead pencils. The site selected MUST provide transportation for participants from the nearest Amtrack station and airport. All proposals received must include an explanation of the shuttle transportation available and indicate additional cost, if any, for the shuttle service. Proposals should also indicate the cost for parking. The specific meeting requirements are as follows: DAY 1. A registration area with four (4) six-foot skirted tables. We will need lunch available to accommodate a flow of registrants from 11:30 am until 2:00 pm. A general session room set classroom style for up to 200 people. Audio-visual needs may include a large projection screen, a two-shelf audio-visual cart, a podium, a microphone, a VCR, a slide projector, and a flipchart. Dinner served in the evening. Afternoon break. An area should be designated for luggage until sleeping rooms are available. DAY 2. A general session room set classroom style for up to 200 people in the morning. Audio-visual will be the same as Day 1. During the afternoon, we will need up to four (4) breakout rooms which can accommodate up to 50 people. The breakout rooms should be available until 8:00 pm We will need flip charts in each breakout room. Hot breakfast and lunch for up to 200. Dinner for up to 200 people. Morning and afternoon breaks. DAY 3. Hot breakfast for up to 200 people. We will need up to foru (4) breakout rooms which can accommodate up to 50 people. A flip chart should be available in each breakout room. We will have a closing lunch with a podium and microphone for up to 200. We will need luggage storage space for people who will be departing. Bid proposals must include the following information to be considered. 1. Per night sleeping room rate for single and double occupancy. 2. A PER PERSON cost for all the catering. Due to our status as a federal corporation, we will only consider food costs which fall with the federal per diem for your area. 3. Charges for meeting space and audio-visual equipment. 4. A description of the shuttle service available and any costs associated with shuttle transporation as well as parking fees.
