W -- RENTAL OF AUDIOVISUAL EQUIPMENT WITH TEHCNICAL SUPPORT SOL 777-16-00 DUE 012800 POC Sadya Armstrong (440)526-7413 The Department of Veterans Affairs (VA), Cleveland Business Center, Cleveland, Ohio, referred to hereinafter Employee Education Center (EES) proposes to enter into a contract for the rental for audio visual and computer equipment, and technical support for the Veterans Affairs Readjustment Counseling Service (RCS) Conference to be held February 6-11, 2000 at the John Ascuaga's Nugget Casino Resort, Sparks (Reno), Nevada. This is a Request for Quotations, for which it and all incorporated provisions are those in effect through Federal Acquisition Circular 97-15. The procurement is 100% Set-Aside for small business. The Standard Industrial Classification Code (SIC) is 7539. The small business size standard for this procurement is $5 Million. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The Contractor shall provide, the service/supplies to include the set-up, operation, maintenance and striking of all audiovisual equipment for the following sessions: General Sessions: February 7th, 9th and 11th ( conference ends on the 11th around 12:00 PM (PST)) contractor shall set-up equipment and be ready for checkout and Crew rehearsal by 6:00 PM (PST) on February 6, 2000 (General session increases from 500 to 1000 attendees on Wednesday, February 9th (only); Breakout Sessions: Four (4) breakout sessions on Tuesday, February 8th and Five (5) breakout sessions on Thursday, February 10th . Equipment for the breakout sessions shall be set-up by 5:00 PM (PST), February 7, 2000 and struck after the final breakout session on Thursday, February 10, 2000. Technical Support: 1) Contractor shall meet all deadlines for setup and striking of audiovisual equipment in the general sessions as well as the breakout sessions during the conference. 2) Contractor shallprovide a project manager to interface with the, (EES) Media Development Manager and the EES Conference Planner. 3) Contractor shall provide technical crew for image magnification of the general sessions. 4) Contractor shall provide a technician for general and breakouts sessions to handle the room audio. 5) Contractor shall respond to on-site equipment requests and equipment failures within 15 minutes. **Due to unknown circumstances the relocation of meeting rooms may be required, mutually agreeable set-up and strike times will be determined by the Contractor's Project Manager and the EES Conference Planner. **Security for the General Session (ballroom) will be provided by the government. ** The Contractor shall be provided up to Five (5) single rooms at the conference site for housing of the Contractor's technical staff. Per Diem or additional fees are not included. The Department of Veterans Affairs will retain rights to all property recorded during the course of this conference.
