Service, a wholly owned Government Corporation, intends to award a
contract to a qualified vendor who can provide lodging, food, and
meeting room space for an AmeriCorps*VISTA Supervisor's Training. This
event will take place in Dallas, Texas, March 15-17, 2000. The
requirements for this event are as follows: Registration: Two (2) large
covered tables set up in the assigned registration area or outside of
the main meeting room beginning at 9:00 am and remaining until the
conference conclusion. A message board should be set up and left in the
registration area throughout the conference. Sleeping rooms: 200 single
rooms March 15-16 (two nights). Meeting Space: March 15:
(8:00am-6:00pm) Roundtables of eight for two hundred (200). March 16:
(8:00am 6:00pm) four (4) rooms each for fifty (50) attendees with round
tables of eight. March 17: (8:00am 6:00pm) Roundtables of eight for two
hundred (200). Equipment: In meeting rooms each day: One flip chart on
easel and two (2) flip charts at the registration area. Lavaliere
microphone and hookups, two large projectors and screens, in the main
meeting room on March 15th and 17th,. On March 16th, in each of the
four-(4) breakout rooms, there must be overhead projector, screens, and
one (1) flip chart. Rental expenses for A/V must be included in your
proposal: Refreshments: To be served each morning and afternoon of the
conference. Morning break may consist of refreshing coffee and/or tea
and light snacks such as cookies. Afternoon break should consist of
coffee, cold drinks, and light snacks. Meals: March 15th: Dinner for
two hundred (200) from 6:00pm 7:30 pm. March 16: Full breakfast for two
hundred (200) attendees from 7:00am-8:00am., lunch for two hundred
(200) attendees form 12:00pm 1:00pm, dinner for two hundred (200) from
6:00pm 7:30pm. March 17th: Full breakfast for two hundred (200) from
7:00am -- 8:00am, and brown bag lunch for two hundred (200) from 10:30
am 12:00pm. Transportation: Shuttle service to and from DFW Airport on
March 15th and March 17th, 2000. Miscellaneous: In submitting a bid for
these services, please quote a price/guest/day. Only sleeping room
rental, meeting room rental, and scheduled meal costs for these guests
are included in this solicitation. Incidentals, the guest will pay
personal expenses (telephone calls, room service, etc.) themselves.
Corporation for National Service will advise attendees of this
responsibility. Please identify any and all of the above services that
will be made available at no cost. For example: for a conference for
100 attendees, will the charge for the meeting rooms, etc., be waived?
Also, what number of paid guests rooms qualify for additional guest
rooms at no costs? What, if any, are transportation costs to and from
the airport? Special Requirements: At least 25% of attendees at meals
will be vegetarians or vegans, meeting rooms and at least 25% of
sleeping rooms must be accessible to physically challenged individuals.
Federal regulations require that any hotel/conference space contracted
shall meet and comply with the American Disabilities Act (ADA)
requirements. Price quotes due at the office below NLT 2:00pm, CST on
