Conference Planning and Execution: The Contractor shall work with the
Private Sector Partners who were involved and helped coordinate the
First Annual Native American Youth Conference.The Contractor shall
provide conference planning and execution to include, but not limited
to: negotiation and confirmation of conference space; At the direction
of the BIA/Advisory committee the contractor shall contact and
confirm, in writing, approximately 15 conference speakers and
presenters and arrange travel and accommodations; Arrange and provide
participants with a list of area hotels that will be available on a
first-come, first-served basis at prevailing market rates; Provide
information (maps, schedules, etc.) to participants; Design and submit
for approval by BIA advisory committee flyers, agendas, a banner for
the plenary session and building (if permissible) where the majority of
the conference will take place; printing of certain materials,
including the save-the-date postcard, agenda, banner(s) signs, and name
badges; reproduce workshop evaluations and all associated workshop
materials as supplied to the contractor; Promote the conference by
mailing save-the -date postcards to tribes, tribal organizations, and
other organizations as advised by the BIA/advisory committee (via the
Department of the Interior mail-room by Office of Tribal Services
staff); Arrange and pay for postage/delivery of conference materials
(approximately 500) to the designated conference site; Develop and
submit for approval to Director of Public Affairs, press releases and
conference publicity through outlets such as tribal newspapers; provide
promotional items, and support services; Develop, disseminate and
collect workshop evaluation forms; Confirm all audio-visual
requirements for the plenary and break-out sessions, as needed; Oversee
day-to-day management of the conference, including space and
requirements; Coordinate activities and promotion of the conference
with the All-West Native American Youth Association; Arrange local
transportation as the safety and well-being of conference participants
dictates; Arrange and confirm volunteer medical services at the site
of the conference, for the duration of the conference, including an
office or designated space known to all participants; One day before
the conference meet with personnel at the conference site to review
final arrangements for: room set-up, audiovisual equipment, and to
finalize trouble-shooting procedures, if needed; place signs at their
proper places; Arrange for boxes of meeting supplies to be transported
to the meeting rooms; Inspect the meeting rooms upon arrival to the
conference site for: set-up of tables and chairs in the room,
audiovisual equipment and operations, set-up of banner(s), registration
area, location, and operation of light controls; find out how to
contact an audiovisual technician in case of problems; Contractor will
staff the registration table(s) by greeting each participant and
helping each participant locate their name tag and agenda; Unpack
meeting supplies and ensure their safety in the meeting room; Develop
promotional materials acknowledging Federal, local, and private
support; Prepare thank you letters for all speakers, donors,
participating organizations and agencies for the signature of the
Assistant Secretary-Indian Affairs upon completion of the conference.
Site of Conference: University of Colorado at Denver, Denver Auraria
Campus. Tentative date June 7-9, 2000. Please submit quotes via telefax

being requested and there will be no further written solicitation.
