and Community Service, a wholly owned Government Corporation, intends
to award a contract to a qualified vendor who can provide lodging,
food, and meeting space for an AmeriCorps*VISTA Pre- Service
Orientations and Supervisor's Training. This event will take place in
the greater Washington, DC area, and or Baltimore area July 17-20,
2000. The requirements for this event is as follows: Registration: Two
(2) large, covered tables set up in the assigned registration area or
outside the main meeting room beginning at 11:00 am on July 17th, and
remaining until the conference conclusion. A message board should be
set up and left in the registration area throughout the conference.
Sleeping rooms: Ten (10) doubles July 16, 2000. Seventy-five (75)
doubles July 17-19 (three nights). Twenty-five (25) singles for July
17-18 (two nights). Meeting Space: July 17, 2000: (1:00pm 5:00pm) Round
tables of eight for two hundred (200) attendees. July 18: (8:00am-6:
00pm). Five (5) rooms each holding thirty-five to fifty (35-50)
attendees with round tables of eight. July 19: (8:00am-12:00pm), five
rooms (5) for thirty-five to fifty attendees (35-50), six rooms (6)
each for thirty-five to fifty (30-50) attendees with round tables of
six, (1:00pm-5:00pm). July 20: (8:00am-11: 30am) one room for two
hundred (200) attendees and three (3) rooms each for twenty to thirty
(20-30) attendees, one (1) room for two hundred (200) attendees
(12:00pm-1: 30pm). Meals: Lunch for two hundred (200) attendees from
12:00pm-1: 00pm on July 17-19, 2000. Plated lunches for two hundred
(200) attendees on July 20, 2000 from 12:00pm-1: 30pm. Dinner for two
hundred attendees (200) from 6:00pm-7: 30pm on July 17-19, 2000. Full
breakfast for two hundred (200) attendees from 7:00am-8: 30am July
17-19, 2000. Full breakfast for two hundred (200) attendees from
7:00am-8:30am on July 20, 2000. Refreshments: To be served each morning
and afternoon of the conference. Morning break may consist of
refreshing coffee and or tea served at breakfast; afternoon breaks
should include cold drinks and light snacks. Equipment: In meeting
rooms, each day, one (1) flip chart on easel and one (1) overhead
projector and screen. One (1) flip chart at the registration area each
day. Two projector screens and one (1) VCR in main meeting room on
July 17, 2000. Rental expenses for A/V equipment must be included in
your proposal. Transportation: Shuttle service available to and from
National Airport and or BWI and or Dulles Airport on July 17 and 20,
2000. Miscellaneous: In submitting a bid for these services, please
quote a price/guest/day. Only sleeping room rental, meeting room rental
and scheduled meal costs for these guests are included in this
solicitation. Incidentals, the guest will pay personal expenses
(telephone calls, room service, etc.) themselves. Corporation for
National Service will advise attendees of this responsibility. Please
identify any and all of the above services that will be made available
at no cost. For example: for a conference for 100 attendees, will the
charge for the meeting rooms, etc., be waived? What, if any, are
transportation costs to and from the airport? Special Requirements: At
least 25% of the attendees at meals will be vegetarians and or vegans,
meeting rooms and at least 25% of sleeping rooms must be accessible to
physically challenged individuals. Federal regulations require that
any hotel/conference space contracted shall comply with the American
Disabilities Act (ADA) requirements and the FEMA Fire Prevention and
