and Community Service, a wholly owned Government Corporation, intends
to award a contract to a qualified vendor who can provide lodging,
food, and meeting space for an AmeriCorps*VISTA Pre- Service
Orientation and Supervisor's Training. This event will take place in
the greater Washington, DC area, and or Baltimore area June 21-24,
2000. The requirements for this event is as follows: Registration: Two
(2) large, covered tables set up in the assigned registration area or
outside the main meeting room beginning at 11:00 am on June 21st, and
remaining until the conference conclusion. A message board should be
set up and left in the registration area throughout the conference.
Sleeping rooms: Five (5) doubles June 20, and fifty (50) doubles June
21-23 (three nights). Fifty (50) singles for June 21-22 (two nights).
Meeting Space: June 21,: (1:00pm 5:00pm) round tables of eight for one
hundred and fifty (150) attendees. June 22: (8:00am-6: 00pm). Three
(3) rooms each holding fifty (50) attendees with round tables of eight.
June 23: Six rooms (6) each for thirty to fifty (30-50) attendees with
round tables of six, (8:00am-5: 00pm). June 24: (8:00am-11: 30pm) two
(2) rooms each for fifty (50) attendees, one (1) room for one hundred
(100) attendees (12:00pm-1:30pm). Meals: Lunch for one hundred and
fifty (150) attendees from 12:00pm-1:00pm on June 21-23, 2000. Plated
lunches for one hundred (100) attendees on June 24, 2000 from
12:00pm-1:30pm. Dinner for one hundred and fifty attendees (150) from
6:00pm-7:30pm on June 21- 22. Dinner for one hundred (100) attendees
from 6:00 pm-7:30pm on June 23, 2000. Full breakfast for one hundred
and fifty (150 ) attendees from 7:00am-8: 30am on June 21-23, 2000.
Full breakfast for one hundred (100) attendees from 7:00am-8:30am on
June 24, 2000. Refreshments: To be served each morning and afternoon of
the conference. Morning break may consist of refreshing coffee and or
tea and include light snacks; afternoon breaks should include cold
drinks and light snacks. Equipment: In meeting rooms, each day, one (1)
flip chart on easel and one (1) overhead projector and screen. One (1)
flip chart at the registration area each day. Two projector screens
and one (1) VCR in main meeting room on June 21, 2000. Rental expenses
for A/V equipment must be included in your proposal. Transportation:
Shuttle service available to and from National Airport and or Dulles
Airport, and or Baltimore/ Washington Airport on June 21 and 24, 2000.
Miscellaneous: In submitting a bid for these services, please quote a
price/guest/day. Only sleeping room rental, meeting room rental and
scheduled meal costs for these guests are included in this
solicitation. Incidentals: All guest will pay personal expenses
(telephone calls, room service, etc.) themselves. Corporation for
National Service will advise attendees of this responsibility. Please
identify any and all of the above services that will be made available
at no cost. For example: for a conference for 100 attendees, will the
charge forthe meeting rooms, etc., be waived? What, if any, are
transportation costs to and from the airport? Special Requirements: At
least 25% of the attendees at meals will be vegetarians and or vegans,
meeting rooms and at least 25% of sleeping rooms must be accessible to
physically challenged individuals. Federal regulations require that
any hotel/conference space contracted shall comply with the American
Disabilities Act (ADA) requirements and the FEMA Fire Prevention and
