quotes to fulfill a requirement for up to 32 rooms, 1 conference room
and 2 breakout rooms in one hotel location in the Washington DC Metro
area from July 16, 2000 through July 21, 2000. The Conference room for
a total of 5 days should comfortably accommodate 40 to 45 personnel in
a classroom style arrangement. The 2 breakout rooms each for 5 days
should accommodate up to 15 personnel in a classroom style arrangement.
Rooms shall be available for arrival on July 16, 2000 with at departure
date of July 22, 2000. Lodging will include 3 meals per person per day.
Contract Line Item Number (CLIN) 0001: Rooms will include a high
standard of hygiene, private bath with full toilet and shower
facilities, cleaning services, electricity, televisions, alarm clock or
wake up call service, and appropriate furniture. All rooms must have a
traditional phone line accessible to plug into an internal modem on a
laptop. It in not a requirement that two (2) phone lines be in each
room. The cost of rooms is to include 3 meals per person per day, no
additional costs shall be included in the price of CLIN 0001. Any
additional charges (e.g., telephone calls, premium cable station
charges, room service, laundry service, mini bar, dames to room or any
other hotel service charge) shall be billed to the guest residing in
the room in which the charge is made. Collection of any additional
charges incurred by individuals will be the responsibility of the
contractor. Guests wishing to stay in their rooms past the designated
period must check out during the regular check-out time of the date
specified as the completion date in each CLIN. This action will clear
their account with the Government. ROOM CANCELLATIONS: The contractor
shall provide a cancellation notification timeframe required for room
cancellations, to include any cancellation fees assessed if this time
frame is not met. Cancellation fees will be provided as a flat rate per
room or as a percentage. MEALS: The contractor will provide at the time
of proposal submission a detailed menu of every meal to be provided
broken down by date and meal. The contractor will also provide the time
of meals, where and how each meal will be served. Payment for any
alcoholic drinks served during meals/breaks will be the sole
responsibility of the person placing the order. Under no circumstances
will the government be responsible for payment of any such bills. CLIN
0002: Conference room; 1 each day for 5 days beginning July 17, 2000
through July 21, 2000. Conference room will be large enough to
comfortably seat up to 45 persons in a classroom style arrangement.
Rooms shall be clean and free of clutter, and should not be in need of
repairs. The Contractor will provide AM and PM snacks in the amount to
accommodate 40 persons each day that the conference room is scheduled.
The contractor will provide at the time of proposal submission a
detailed menu of refreshments/snacks to be served during both snack
break sessions. CLIN 0003: Breakout rooms; 2 each day for 5days
beginning July 17, 2000 through July 21, 2000. Breakout rooms shall
accommodate up to 15 persons in a classroom style arrangement. Rooms
shall be clean and free of clutter, and should not be in need of
repairs. CLIN 0004: The Contractor shall provide each day for 5 days
beginning July 17, 2000 through July 21, 2000 1 each: Standard overhead
projector with screen, Podium with Microphone, and an Easel stand with
