70 -- MAINFRAME OUTPUT DOCUMENTS SYSTEM SOL 2000-RFI-22 DUE 070700 POC Velinda Nix -- 312/751-3387 I. The U.S. Railroad Retirement Board (RRB) seeks sources for software and/or hardware solutions to allow for the redirection of mainframe output documents currently produced by the Xerox 413 and 4235 laser printers to the Eastman Software image processing/workflow system under development at the RRB. The documents will be stored as images (some permanently) on the Eastman System for retrieval by claims examiners. No telephone calls will be accepted. The proposed solutions should address the following situation: Currently the RRB prints large numbers of paper documents, many of which are for folder documentation purposes to substantiate annuity and benefit calculations and payments. These consist of forms defined in Xerox's Job Descriptor Library (JDL) residing on a Xerox 4135 or 4235 printer plus a mainframe data stream providing individual variable data for each document. In some instances the data stream also contains changeable Dynamic Job Descriptor Entries (DJDEs). The variable data is combined with the Job Descriptor Entries (JDEs) on the Xerox printer and a paper document is produced. Notification letters are also printed to advise annuitants/beneficiaries of payments, rate changes, or other matters. For these types of documents a hard copy letter must be produced for mailing along with an identical output to the imaging/workflow system. Accordingly, the RRB seeks products that will perform the following functions: 1. Redirect output (described above) currently resulting in hard copy produced on our Xerox 4135 high-speed laser printer system and/or Xerox 4235 remote printers to our Eastman image processing/workflow system (which runs on the Windows NT 4.0 LAN operating system). For certain kinds of documents a hard copy must also be printed for beneficiary notification by mail. This may be performed on the Xerox printer(s) or on a compatible device. 2. The mainframe-produced data stream will have key fields of data that must be automatically converted to indices and the corresponding indices attached to each document for the Eastman image processing/workflow system. The proposed solution for indexing should consider the use of Eastman's Data Definition File format for controlling the Eastman Rapid Batch Entry process. 3. The image file format produced must be compatible with the Eastman image processing/workflow system. PDF is an example of a format that is acceptable to the Eastman system but basically any Windows-compliant format will work. 4. These functions must be performed with the maximum amount of automation possible with the control and initiation of the jobs being done on the mainframe. II. CONTRACTOR/CONTRACT INFORMATION Companies having the ability to furnish this software/hardware are requested to provide written notification (including telephone number for a point of contract) and detailed data regarding the proposed solution(s) to the processing office listed in this notice within 15 calendar days from the date of publication of this synopsis. Potential vendors should respond with technical literature, pricing details, and information describing the degree to which they can comply with the requirements outlined above.
