W -- PROVIDE AUDIOVISUAL SERVICES AND EQUIPMENT FOR SAN ANTONIO, TX CONFERENCE JULY 11-13 SOL 777-40-00 DUE 062900 POC Karen Lebo (440)526-3030 X7444 The Cleveland Business Center, Cleveland, Ohio referred to hereinafter Employee Education Center (EES) proposes to enter into a contract for the rental audiovisual equipment and technical support for the Occupational Health & Safety Conferenc. This is a Request for Quotations, for which it and all incorporated provisions are those in effect through Federal Acquisition Circular 97-17. The procurement is 100% Set-Aside for Small Business. The Standard Industrial Classification Code(SIC) is 7359. The Small Business Size Standard for this procurement is $5 Million. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in FAR supbart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation WILL NOT be issued. The conference shall be held from July 11, 2000 through July 13, 2000. The location shall be the Marriott River Center, San Antonio, Texas. The conference activities shall take place in the Main Ballroom . The contractor setup shall be on Monday, July 10th by 5 pm. The General sessions are Three days (Tu-W-Th), first half day beginning at 800 am Tuesday, July 11th and ending at 530 pm, Thursday, July 13th, 2000 There are Five (5) Breakout sessions each on Tuesday, July 11th and Thursday, July 13th, and six (6) breakout sessions on Wednesday, July 12th, 2000. The contractor shall set up, maintain, and strike all audio-visual equipment requested for the conference, and shall meet all deadlines for set-up and striking of audiovisual equipment in the general sessions as well as the breakout sessions during the conference. The Contractor shall provide the technical crew for image magnification and videotaping of the general session, and a technician for all the general sessions and breakouts to handle the room audio, and a technician to handle the video lighting and the audio in the general session. The Contractor shall provide a project manager to interface with the EES Media Development Manager, the EES Conference Planner, and the EES A-V Specialist. The contractor will be prepared to connect VA Faculty and/or other Government provided laptop computers to any and all projection systems requested in this solicitation. Setup of equipment for General Session, Main Ballroom, Salons A, B, and F shall be by 500 pm on setup day and Striking of equipment after the final general session on the third day, July 13, and equipment for the breakout sessions shall be set-up and checked out by 700 am on day of the breakout sessions and struck after the final session requiring the equipment, on the final day.
