The National Library of Medicine (NLM) is charged with preserving biomedical literature. The purpose of this requirement is the preparation of brittle volumes of biomedical literature for microfilming. A second, separate requirement for the actual preservation microfilming is being solicited concurrent with this requirement. Preservation microfilming requires consistent adherence to high standards for preparation of materials and updating of bibliographic records. To ensure that film produced is of archival quality, American National Standards Institute and Research Libraries Group guidelines and NLM requirements for preparation must be met consistently. Quality control of all steps is essential. It is anticipated that the Contractor will prepare about 25,000 brittle volumes and 1,250 rare volumes over the life of the contract. For this requirement for the preparation for preservation microfilming, the Contractor shall: 1) Search bibliographic utilities for titles to be filmed; 2) Perform page-by-page collation; 3) Determine and execute appropriate preparation actions; 4) Produce bibliographic and irregularities targets; 5) Program microfilm reels; 6) Inspect all work and correct all preparation errors; 7) Ship volumes to offsite filming facility; 8) Check-in filmed volumes and microfilm reels; 9) Measure filmed volumes for boxes, provide box label data, and assemble boxes; 10) Update NLM online bibliographic files; 11) Track the status of each physical piece throughout the preparation process; 12) Monitor and control the overall preparation workflow; and 13) Perform rework as needed. Work under this contract will be performed on site at the NLM in Bethesda, MD. It is anticipated that a one-year fixed price, indefinite delivery (indefinite quantity) contract with options for four (4) successive one-year option periods will be awarded on or about March 1, 2001. It is anticipated that RFP NLM 00-107/DJH will be available on or about September 12, 2000. RFP NLM 00-107/DJH will be available in paper format only. Electronic copies will not be issued.
