- The Corporation For National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, conference space, and meals for the AmeriCorps*VISTA In-Service Training. This event will take place in the metropolitan Dallas, TX area, February 4-8, 2001. Registration: Two (2) large covered tables set up in the assigned registration area or outside the main meeting room beginning at 2:00pm on February 4th and remaining until conference conclusion. A message board should be setup and left in the registration area throughout the conference. Sleeping rooms: : Two (2) single rooms February 3-7 (five nights), 2001. Thirty (30) doubles February 4-7, 2001 (four nights). Meeting space: February 4th: (2:00pm-6:00pm) One (1) room for sixty (60) attendees set in rounds of six with 2 small tables at the front of the room for materials. February 5-7th: (8:00am-6:00pm) One room set for sixty(60) attendees set in rounds of six with 2 small tables set up at the front of the room for materials. February 6, 2001: (8:30am-12:30pm) Four (4) conference rooms set for 20 attendees in each room with round tables of five and a small table at the front of the room for materials. February 7, 2001 (9:00am-4:00pm) One (1) breakout room with six round tables for six chairs per table. February 8, 2001: (8:00am-12:00pm) One (1) room set for sixty (60) attendees set in rounds of six with two small tables at the front of the room for materials. Meals: February 4-7, 2001- Dinner for sixty (60) attendees from 6:15pm-7:30pm. February 5-8, 2001-Full breakfast for sixty (60) attendees from 6:30am-8:30am. February 5-8, 2001-Lunch for sixty (60) attendees from 12:00pm-1:00pm. Refreshments: To be served each morning and afternoon of the training. Morning breaks may consist of refreshing coffee and tea at breakfast and light snacks; afternoon breaks may include cold drinks and light snacks. Menus must be included in your proposal. Audio visual equipment: February 4-8, 2001 One (1) overhead projector, one (1) projector screen, and two (2) flip charts in general session. February 6, 2001 one (1) overhead projector, one (1) projector screen and one (1) flip chart in each of the breakout rooms. February 7, 2001 One (1) overhead projector, one (1) projector, and one flip chart in the breakout room. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle services available to and from all area airports on February 4th and 8th 2001. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, and scheduled meeting costs for these guests should be included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is HQMWR0103 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-20. The provisions at 52.212.1, Instructions to Offerors Commerical, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Responses to this RFQ are due at the above office by COB December 22, 2000. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement.
