- The Corporation For National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, conference space, and meals for the AmeriCorps*VISTA Pre-Service Training. This event will take place in the metropolitan Dallas, TX area, February 4-9, 2001. Registration: Two (2) large covered tables set up in the assigned registration area or outside the main meeting room beginning at 2:00pm on February 4th and remaining until conference conclusion. A message board should be set-up and left in the registration area throughout the conference. Beginning February 3rd until conference conclusion, provide an office or suite with a phone for storage and meetings. Sleeping rooms: Two (2) single rooms and two (2) double rooms February 3-8 (six nights), 2000. Twenty-five (25) doubles February 4-8, 2001 (five nights). Meeting space: February 4th: (2:00pm-6:00pm) One (1) room for seventy(70) attendees-set theatre style with a small table set up in the front of the room. February 5-8th: (8:00am-6:00pm) One room set for seventy(70) attendees set theatre style with small table set up at the front of the room. Four (4) conference rooms or suites set in rounds of 4 for 10-12 attendees in each room. February 9, 2001: (8:00am-12:00pm) One room set for seventy(70) attendees set theatre style with small table set up at the front of the room. Four (4) conference rooms or suites set in rounds of 4 for 10-12 attendees in each room. Meals: February 4-8, 2001- Dinner for sixty (60) attendees from 6:00pm-7:30pm. February 5-9, 2001-Full breakfast for sixty (60) attendees from 6:30am-8:00am. February 5-9, 2001-Lunch for sixty (60) attendees from 12:00pm-1:00pm. Refreshments: To be served each morning and afternoon of the training. Morning breaks may consist of refreshing coffee and tea from breakfast and light snacks; afternoon breaks may include cold drinks and light snacks. Menus must be included in your proposal. Audio visual equipment: February 4-9, 2001 one (1) overhead projector, one (1) projector screen, and one (1) flip chart in general session. February 5-9, 2001 one (1) overhead projector, one (1) projector screen and one (1) flip chart in each of the breakout rooms. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle services available to and from all area airports on February 4th and 9th 2001. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, and scheduled meeting costs for these guests should be included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is HQMWR0104 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-20. The provisions at 52.212.1, Instructions to Offerors Commerical, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement.
