Description
The Corporation for National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, conference space, and meals for AmeriCorps*VISTA Pre-Service Orientation and Supervisor's Training. This event will take place in the greater Washington, DC area, April 19-22, 2001. Facility must be located within a 25-mile radius of Washington, DC. The requirements for this event are as follows: Registration: Two (2) large covered tables set up in the assigned registration area or outside the main meeting room beginning at 11:00 am April 19th and remaining until the conference conclusion. A message board should be set up and left in the registration area throughout the conference. Sleeping rooms: Ten (10) doubles on April 18th. Forty (40) doubles April 19-21 (three nights). Thirty (30) singles April 19-21(three nights). Meeting space: April 19th: (2:00pm-6:00pm) One (1) room with round tables of eight for one hundred and twenty (120) attendees. April 20th: (8:00am-6pm) three (3) rooms each holding forty (40) attendees with round tables of eight. April 21st: six (6) rooms each for thirty (30) attendees with round tables of six. One (1) room (4:00pm 6:00pm) with round tables of eight for one hundred and twenty (120) attendees. Meals: Lunch for one hundred and twenty (120) attendees from 12:00pm-1:30pm on April 19th. Lunch for one hundred and twenty (120) attendees from 1:00pm-2:00pm April 20, 2001 and lunch for one hundred and twenty attendees from 12:00pm-1:00pm on April 21, 2001. Dinner for one hundred and twenty (120) attendees from 6:00pm-7:30pm on April 19-21, 2001. Full breakfast for one hundred and twenty (120) attendees from 6:45am-7:30am on April 20-22, 2001. Refreshments: To be served each morning and afternoon of the conference. Morning breaks may consist of refreshing coffee and tea from breakfast and light snacks; afternoon breaks should include cold drinks and light snacks. Menus must be included in your proposal. Equipment: One (1) projector screen, one (1) microphone, and one (1) television/VCR in meeting room, April 19, 2001. One (1) projector screen, one (1) flip chart and one (1) overhead projector in each of the three meeting rooms on April 20, 2001. One (1) projector screen, one (1) flip chart, and one (1) overhead projector in each of the six meeting rooms on April 21, 2001. One (1) flip chart and one (1) microphone in general session on April 21, 2001. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle service available to and from all area airports (Reagan, Dulles, and Baltimore-Washington) on April 19th and April 22nd. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, and scheduled meeting costs for these guests should be included in this solicitation. Incidentals: The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is HQMWR0105 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-20. The provisions at 52.212.1, Instructions to Offerors Commerical, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. Proposals must be submitted in writing, signed by a person authorized to negotiate on behalf of the proposer with the Government and sent to the address in this announcement.
