- This is a notice of intent to award a sole source purchase order to New York Marriott East Side Hotel for commercial items in accordance with the Federal Acquisition Regulations (FAR) subpart 12.6, as supplemented with additional information contained in this notice following the simplied acquisition procedures in FAR part 13.5. The Department of Justice, Civil Division, Office of Immigration Litigation has a requirement for a small to medium-size hotel/conference center to provide private sleeping accommodations, eating facilities, meeting space, and support services for its annual Immigration Litigation Conference to be held on May 29 through June 1, 2001 in midtown Manhattan. The estimated number of participants is 150. A block of 125 sleeping rooms shall be reserved. Lodging shall be at or below the Government rate of $198, which is the year 2001 rate. Each guest shall be personally responsible for payment of his or her lodging. Once a credit card number is issued to the hotel by or on behalf of a named individual, that room shall be removed from the blocked room listing, and liability for any room cancellation penalty transfers to the individual. The Government shall hold plenary sessions on Wednesday, Thursday, and through noon on Friday; thus, the Contractor shall provide a general sessions conference room, set up classroom style, to accommodate 150 attendees each day. A registration area with two six-foot tables shall be set up outside the general session room each day. The Contractor shall also provide space for a reception to be held on Tuesday, May 29 from 6:00 to 7:30 p.m. for all attendees, and finger foods and beverages shall be served. The general sessions shall begin at 8:00 a.m. each day, with 15-minute breaks in the morning and mid-afternoon, plus a lunch break each day. Continental breakfast shall be served each morning in the back of or outside the conference room; the mid-morning break (served in the same location) shall include coffee, tea, soda, water, and fruit; the afternoon break (served in the same location) shall include coffee, tea, soda, water, and cookies. A sit-down luncheon shall be served on Wednesday, May 30. The room for the luncheon shall be easily accessible from the general session conference room. All equipment needed by speakers shall be provided; this includes, but is not limited to: screens, projection carts, microphones, mixers, telephone cords for modem hook-up, and VCRs. 1. Provide conference space/services for the Annual Immigration Litigation Conference to be held from May 29 to June 1, 2001, in New York City, NY. 2. Meeting room rental and audio visuals equipment at a cost not-to-exceed $11,000. 3. Working meals, reception, non-alcoholic beverages, continental breakfast, and coffee breaks at a cost not-to-exceed $29,000 excluding tax. CONTRACT CEILING AMOUNT: $45,000.00 Response to this notice will be used to determine if bonafide competition exist.
