Description
THE SUBJECT CONTENT IS HEREBY AMENDED TO INCORPORATE THE FOLLOWING: 1. THE BID OPENING DATE IS EXTENDED UNTIL THURSDAY, FEBRUARY 11, 2010 AT 2:00 P.M. 2. CLARIFICATION OF QUESTIONS AND ISSUES RAISED DURING THE JANUARY 4, 2010 PRE-BID MEETING ARE ATTACHED TO THIS AMENDMENT. 3. PLEASE DIRECT ANY OTHER QUESTIONS TO DAVID HATFIELD AT 304/347-5155. Clarification of Questions and Issues Raised During the Pre-Bid Meeting Conducted on January 4, 2010 1.DHS/GSA security clearances for all contractor employees will be required for all workers associated with this file cabinet move contract. 2.Mandatory Department of Veterans Affairs Sensitive File Training: •Three (3) on-line VA training classes shall be completed by all contractor employees working on this move project. •The training may be completed on-line or in person at the Poff Federal Building. If completed on-site, the location will be determined by the VA and GSA. All training shall be completed prior to the commencement of any work. •The training should take approximately 2 hours or less per person. •A “Certificate of Completion” will be provided for the courses successfully completed. 3.Security guards will be on site at the Poff FB. Security guards will not be on site at the new leased location. VA escorts will be present at all times during the move process at both locations. 4.The Poff FB business hours of operation, Monday through Friday, are 8:00AM to 5:00PM. However, access to the Poff Federal Building for moving purposes may be permitted from 6:00AM to 6:00PM, with VA approval and with VA escorts. 5.The moving of files cabinets may be conducted on Saturdays if requested, approved, and scheduled by the VA and GSA. 6.Elevators will be available at both sites. At the Poff FB, the freight elevator will be the designated elevator to use during the move. The elevator usage at the new leased location will have unrestricted access from 9AM-12PM and 1PM to 5PM. Limited access between 8AM-9AM and 12PM-1PM. No key access is available for any of the elevators at either site. 7.A typical standard 5 drawer vertical file cabinet, fully loaded, could weigh up to approximately 500 pounds. All files being moved will be full. 8.No file cabinets may be left on a mover’s truck overnight at either location. The loading of trucks will begin each morning. The last loaded truck must be unloaded prior to the end of each workday. 9.All file cabinets will be removed from the 14th floor and various other floors of the Poff FB and delivered to and placed in the 2nd floor of the leased location per the floor plan provided to the contractor. The VA will assist in the selection of files to be placed per the VA’s file cabinet number sequence plan. The VA will have employees escorting and assisting with file cabinet placement throughout the entire move. The driving distance from the Poff FB to the leased location is ˝ mile. 10.There is a loading dock at the Poff FB. The leased location has a small loading area at the alley side of the building. Window access will be available for use by the contractor to move files into the building on the 1st Street side of the leased location. The contractor shall be responsible for all coordination of equipment required for window access and use during the move. The contractor shall be responsible for all fees, authorizations, and/or permits required by the City of Roanoke and the lessor for use of roadways, sidewalks, etc during the move. 11. The scheduled move dates have been changed to April 5, 2010 through April 16, 2010. 12. A Kick Off Meeting will be scheduled prior to the commencement of the actual move. The meeting will be mandatory and shall include the successful contractor, the VA and GSA.
